Its browser extension technology enables us to find every tool we have, even ones HR and IT didn’t provision. Torii doesn’t lie. Having 100% accurate data puts us ahead of the game when it comes to managing SaaS.” “With Torii, the time-to-value, especially for app discovery, was immediate. On day one, Torii exposed a lot of the unknowns, like how big of a problem SaaS sprawl really was. We expected to find 100-200 apps in our SaaS stack, but we were blown away to find nearly 500. We no longer have to play whack-a-mole to put out IT fires related to compliance.” “On day one, Torii discovered 300% more apps than we tracked in our spreadsheet. We had a list of 100. Torii discovered just under 400, and that was before we implemented Torii’s browser extension. Now, with the browser extension, we discover new apps as soon as they’re adopted.” # Page Title AppsFlyer changes future software use worldwide with Torii | Torii ## Page URL https://www.toriihq.com/case-studies/appsflyer ## Page Description Manage all your SaaS apps. In one single place. Torii lets IT professionals discover, optimize, and control their organization’s SaaS usage and costs. ## Details ### AppsFlyer changes future software use worldwide with Torii #### Customer Profile AppsFlyer empowers marketers to grow their business and innovate with a suite of comprehensive measurement and analytics solutions. Built around privacy by design, AppsFlyer takes a customer-centric approach to help brands and technology partners make better business decisions every day. The company has more than 12,000 customers and 8,000 tech partners worldwide, including some of the biggest names in tech and entertainment. It employs more than 1,000 people across 19 offices worldwide. “Once we integrated Torii, it blew our minds. We found apps we didn’t even know we were using – or paying for.” – Mark Samuelson AppsFlyer enables marketers to understand their customers’ journeys with accurate attribution data built with unmatched privacy and security. The company raised a series D funding round in 2020, led by General Atlantic with a late stage addition from Salesforce Ventures later that year. Valued at more than $2 billion, AppsFlyer employs more than a thousand people worldwide. As an innovative company with a technologically curious staff, AppsFlyer is always looking at ways to work more efficiently – and this includes exploring new applications. Mark Samuelson who is in charge of SaaS operations at AppsFlyer describes the challenge the company faced with managing the many applications that were being used across the organization. “The first thing the new CIO, Chily Fachler asked was how many SaaS [Software-as-a-Service] applications do we own and how much are we paying? At that point, before using Torii, we could not put a precise number or a cost to what we were using. As a company, we work with a wide variety of apps. We needed to take better charge of the whole application stack, as well as onboarding and offboarding so we could work more efficiently,” Samuelson explains. AppsFlyer had been using spreadsheets to keep track of app spend as each department struggled to gain an oversight of who was buying what, but it soon became clear that this approach was not going to be workable over the long-term. The company looked around for tools that could solve this app management challenge. Any solution would have to work alongside the company’s existing core workflow and productivity software, including Salesforce, Asana, Slack and Okta. The company used another solution for around a year before deciding it was not quite the right fit. Samuelson had become aware of Torii via word-of-mouth and decided to test it out. “In tests, Torii always stood out from the rest. It was ultimately my decision to choose Torii, and I’m so happy I did.” – Mark Samuelson #### How Torii Helped With Torii, AppsFlyer has been able to realize several key benefits: Elimination of unused licences: Torii gives AppsFlyer complete visibility over its SaaS licences across the organization. The company can now manage its software license contracts more efficiently. It has also been able to identify hundreds of apps that were not being used at all. AppsFlyer still uses more than 300 apps across the organization, which illustrates the size of the original challenge. Employee offboarding: AppsFlyer managed to improve its offboarding challenge, so when staff members leave, the company can easily alter or close their subscriptions saving hours of manual work and reducing offboarding security risks. Security: Mark and his team enjoy visibility over app permissions, so they can ensure that their staff members are always using the most secure apps available. While IT departments in other companies may be struggling with process centralization, AppsFlyer leverages Torii to be the driving force of strategic budget planning. “Torii became our source of truth – not just for IT, but for legal, procurement, everyone.” – Mark Samuelson “Torii played a huge role when our budget came around at the end of December. All of a sudden, I became a very busy man as everyone turned to me to understand what tools they’re using ahead of renewals.” # Page Title Article Eliminates Shadow IT, Optimizes SaaS Stack & Spend | Torii ## Page URL https://www.toriihq.com/case-studies/article ## Page Description Discover, analyze, and manage all your SaaS data in one place. Torii makes it easy for IT pros to optimize their entire SaaS stack, eliminating Shadow IT, cutting SaaS spend, and automating even the most complex user, application, and license workflows—all without ever leaving the Torii platform. ## Details ### Article Eliminates Shadow IT, Optimizes SaaS Stack & Spend #### Customer Profile Article is a direct-to-consumer furniture and decor company that provides customers with modern, stylish, and well-priced goods straight to their doors. With over 850 employees, it has shipped more than 1.5 million orders to customers in the U.S. and Canada since its launch in 2013. Article’s lean IT team found themselves struggling with the manual nature of SaaS management. Their process entailed updating a spreadsheet with detailed info sourced from a variety of dashboards, and constantly communicating with stakeholders to keep track of applications and licenses. Utilizing a spreadsheet as their source of truth was inefficient and inaccurate. Salar Sahraeian, Senior Manager of IT at Article, said, “As soon as we updated it, it was out of date. We had no real visibility into spend or into what applications we had as a company. There was a lot of waste.” This was especially apparent during critical operations such as offboarding employees. Sahraeian called it a “best-guess scenario” in which they’d go one by one into applications they believed a former employee had accessed to deprovision them. Unfortunately, there was no way to ensure they had covered the employee’s full tech stack. This created significant wasted spend, as licenses often sat unused once employees departed. David Capling, Systems Administrator at Article, said, “There was no opportunity to consolidate our license count. We had this extensive, labor-intensive spreadsheet and could still only track a small portion of licenses.” He added, “SaaS was ballooning out of control. We had to start controlling our spend and find places to save money.” #### Why Article Chose Torii The IT team compared Torii and two other SaaS Management Platforms using a point scale that graded on a variety of features, usability, and use cases. All four of the team members scored Torii higher than its competitors. In Capling’s words, “Torii ranked much better from both ease of use and well-roundedness of the total platform. It was quick and easy to integrate. We knew it would help IT tremendously, while also helping other teams like Finance.” They leveraged Torii’s extensive discovery capabilities, including its browser extension, and immediately found almost 400 more apps than they had been tracking. Sahraeian said, “We saw value from Torii right away and within 2-3 months we realized our ROI.” Using Torii, they could see every single application in use at their organization, as well as real-time usage and spend information on every license and user, and compare Article’s full SaaS stack to target redundancies — all within a centralized platform. According to Sahraeian, Article also uses Torii as a tools documentation center. “If anyone from the CEO and CFO to business team managers wants to find out anything about any tool, they can see in Torii what it does, the billing contact, how we pay, chargebacks to departments, who the users are, whether it’s an active contract, and more. Torii is a key source of SaaS truth for us.” #### How Torii Helps ##### Eliminated Shadow IT With full visibility into every application, Article successfully combats Shadow IT. Previously, while they partially tracked some sanctioned applications manually, they had no visibility into unsanctioned ones. That totally changed with Torii. Capling said, “We went from tracking 65 apps to knowing that we had more than 450. Torii showed us the scale of what was going on behind the scenes.” This unlocked immediate opportunities, as not only was Article able to get an accurate picture of their full SaaS stack, but they were also able to use this information to create governance policies for curbing unsanctioned app adoption. The IT team wished they had Torii sooner. Sahraeian said, “I recommend getting Torii early on in your SaaS journey because as you grow, it’s going to become more difficult to manage apps.” Capling added, “Torii’s an excellent proactive tool. If you can get buy-in early, do it as it saves so much work and headaches. There was a lot of savings potential that we didn’t know about.” ##### Cut costs through optimizing apps and licenses Within the first few months, Article saved over $100,000 by just leveraging the visibility enabled by Torii. Sahraeian said, “Once we were able to see every app and how they were used, we could optimize, consolidate, and eliminate tools we no longer needed and licenses that weren’t used effectively.” Article leverages Torii’s dashboards and real-time usage data to target underutilized apps, reclaim licenses, and recycle them. They use Torii’s app comparison feature to review the usage and costs of apps that have similar functionality in order to eliminate app redundancies. The team created workflows for offboarding, so when an employee leaves Article, IT is able to cease access to all their applications and reclaim licenses. They also plan to use Torii’s workflow engine to automatically detect when a license is not used frequently, mark that user as inactive, and reach out to reclaim that license. Additional workflow plans include departmental-based license provisioning, further offboarding optimization, onboarding, and more. Article also integrated Torii with Netsuite, enabling Torii to serve as a central location for app costs across their full stack. They also use Torii’s benchmarking feature to see how their spend on specific apps compares to that of similar companies. All of this helps them better manage their IT budget. Sahraeian said, “Now I can forecast spend for the next year, collaborate with Finance, and align our budget with company objectives.” ##### Effective Governance According to Sahraeian, “Having such great visibility into how apps were used helped us figure out the best policies for app adoption and slowed the amount of Shadow IT flowing in.” Now, before anyone attempts to subscribe to an application on their own, they contact the IT team. Sahraeian explained, “Employees now come to us first. We then either offer them a solution that’s already in use or, if they need a new tool, help them get it for the right price.” “The way Torii automatically provides usage information has been a game-changer. It gives us the opportunity to optimize, make decisions, and improve the lifetime usage of an application. It’s given us a much better understanding of our SaaS landscape.” Use Cases: Application Discovery, Spend Management, License Management, Automated Workflows SaaS Surprise: “My favorite thing about Torii is that the opportunities it enables are endless. You think, wow there’s so much I can do with it, and yet, you can still do more.”– Salar Sahraeian, Senior Manager of IT at Article Favorite Torii Features: Spend & Contract Management, Data-Driven Insights “If you have 10+ SaaS apps in your organization and are spending too much time managing them, it’s definitely worth getting Torii. Torii’s more than just a SaaS Management tool – it has endless opportunities.” # Page Title CD Baby Automates SaaS Management, Saves Money and Empowers Employees | Torii ## Page URL https://www.toriihq.com/case-studies/cd-baby ## Page Description Manage all your SaaS apps. In one single place. Torii lets IT professionals discover, optimize, and control their organization’s SaaS usage and costs. ## Details ### CD Baby Automates SaaS Management, Saves Money and Empowers Employees #### Customer Profile CD Baby is a leading online distributor of music for independent artists. Tens of thousands of musicians rely on CD Baby to sell their music through 150+ streaming and download services, including Spotify, Apple Music, TikTok, Pandora, YouTube, Amazon, and Deezer.CD Baby’s mission is to help musicians achieve their dreams. Known for its close, collaborative relationships with artists, its services include everything from royalty collections and rights administration to assistance with marketing, merchandising, and placements. CD Baby’s IT department exemplifies the company’s commitment to collaboration. “We work hard at fostering an open environment with our user community. This includes giving employees the opportunity to explore the latest and greatest technologies,” said Tom Beohm, CD Baby’s Vice President of IT.The company used an honor system asking people to fill out a form when they tried new applications. However, it was rarely used. Instead, IT often found out about new SaaS applications through help desk requests for unsanctioned apps; when an employee who had provisioned their own app left CD Baby and others couldn’t access it; or when accounting why they were spending so much for an application that it turned out an employee had used their corporate credit card to purchase.Managing contracts was difficult. CD Baby used Sharepoint to manage a static list of contracts. According to Beohm, “It wasn’t always accurate and didn’t scale. Not only did we have to manually update it, notifications of renewals were spotty, if they happened at all.”When renewal information was available, Beohm had to manually track down who was using the apps and why, in order to effectively renew contracts – if time allowed. “I have a lot of tribal knowledge from being at CD Baby for 12 years, so I was the single point of contact,” he said. The IT team’s growing awareness of their SaaS sprawl and the challenges associated with it – including disconnects that happened when different teams used competing tools – led CD Baby to consider a SaaS management solution. That, plus recent M&A activity, spurred them to act. “Other companies coming into the fold were bringing their own apps and services, further complicating our IT landscape. It became apparent we needed a much better way to understand our entire environment,” Beohm explained. #### Why CD Baby Chose Torii CD Baby evaluated several SaaS Management Platforms (SMPs). Torii stood out for its extensive discovery and actionability. “Other SMPs had limitations on how many apps and how much information they could discover. Torii was the only one with the comprehensive breadth and depth of discovery we needed. With its browser extension and ability to run across multiple browsers and device platforms, Torii had a clear advantage,” Beohm said.Torii also made it easy to take action on the information it discovered. “Competitors provided some visibility but no way to take action. You couldn’t do automations, couldn’t interact and, as a result, could’t really manage the SaaS environment,” Beohm said. “Torii’s workflows are fantastic. We can use them to automate virtually anything.”Beohm also noted that Torii’s pricing model was very easy to understand compared to competitors whose “pricing was ambiguous and overly a-la-carte.”Equally important, CD Baby found a true partner in Torii. Beohm said, “We wanted someone to partner with in our SaaS management journey. We could tell from the start that Torii wanted the same thing. From our initial sales contact through onboarding to customer support, Torii excels. The customer experience is fantastic.”Torii’s ease of use put the icing on the cake. Beohm explained, “As an IT guy, I’m used to having to mess with technology that doesn’t work out of the gate. That’s not what happened with Torii. Torii just works, in every possible way. I don’t have to mess with it, tweak it, or worry about it. The solution is very elegant and the set up is easy. I even repurpose its very approachable documentation to communicate what the Torii tool is all about and why we’re using it.” #### How Torii Helps CD Baby ##### Fast Time-to-Value CD Baby’s decision to purchase Torii had high visibility throughout the company. “Many people knew about the changes we hoped Torii would bring in how we operate, manage costs, and provide services. So it was great to have Torii deliver on its promise so quickly. It took just two weeks to realize tangible value,” said Beohm. “In that short time, we were able to roll out our Application Catalog to promote and enable employees to request sanctioned apps and services.” ##### Superior SaaS Management Torii made SaaS management not only possible, but also easy. “We can discover everything and take action on anything. When we turned Torii on, I expected to see about 100 applications. I was surprised to find we had 248,” Boehm explained. He added, “I love Torii’s workflows! I was surprised about how easy and extensible they are. I’ve even set up workflows that interact with other workflows. We can also explore new workflows without repercussions because Torii lets us disable workflows and then test against a safe application, before rolling them out.”One example of this is CD Baby’s offboarding workflow, which lets them deprovision an employee with a click of a button – and minimize the risk of sensitive data falling into the wrong hands. “With SaaS sprawl and Shadow IT, it’s impossible for us to know everything and everyone that needs to be disconnected. But Torii knows. Our offboarding workflow shows everything a user has used and automates deprovisioning and/or app owner notifications with required actions as soon as they leave the company,” Beohm said. ##### Employee Empowerment CD Baby supports employees’ application explorations while bringing them out of the shadows. They discover applications in real-time via Torii’s browser extension technology, and use Torii’s application comparison feature to uncover redundant tools. The IT team uses this information to initiate conversations with employees about why they like the applications, encourage them to use sanctioned apps that provide the same capabilities when it makes sense, and bring apps under CD Baby’s OneLogin Single Sign On (SSO) solution and IT’s administration.Using Torii’s Application Catalog, CD Baby gives employees a way to self-service access. Applications must meet strict criteria, including being either “IT owned” or “IT supported,” to make the list. Clicking on an app reveals what the application is, why CD Baby has it, who the owner(s) are, and who supports it. If employees don’t see applications they want, they simply click the “I Don’t See My App Here” link, which takes them to a custom app request form on the company’s ticketing system. IT then contacts the employee to discuss and evaluate their request. ##### Scales and Right-size Contract Renewals Managing contracts and renewals in Torii is orders of magnitude easier and more cost-effective. “One of the great things about Torii is I can tie a contract to an application. Because the information is dynamic, I see not only what we’re spending money on, but also its owner, adoption, usage, and even cost per user and department. I don’t have to chase this information down. It’s baked into Torii – and it’s 100% accurate,” Beohm says.Beohm created a renewals workflow that sends a ticket to CD Baby’s IT operations team with links to the app, renewal date, details on usage and cost, and instructions on what to do in terms of right-sizing contracts. “I’m no longer the single point of success. Torii lets us assign app and contract ownership, and automatically notifies the right people about renewals with plenty of runway to negotiate rates and right-size contracts. This makes it easy to scale responsibility for ownership and keep on top of renewals,” said Beohm.Beohm is a huge advocate of using Torii to improve overall IT management. He explained, “We use Torii for all IT contract management. I developed a custom “app” for our primary hardware OEMs and mapped our hardware support contracts to it. Creating a vendor record as an app lets us consolidate management of support and hardware, as well as apps and services. We now have one place to manage all our technology contracts.” ##### Time & Money Savings According to Beohm, “The challenge with most SaaS services is, if you buy more licenses it’s hard to true-down before the end of a contract. Torii offsets this by making it easy to reclaim seats instead of buying more.”For example, in the past CD Baby’s motion was to purchase additional Microsoft Office 365 seats as they hired new employees because trying to find out if all seats were being used, and by whom, was a manual effort they didn’t have time to undertake. Now, it’s not necessary. “Recently, we were about to pull the trigger on new seats for Office 365. Instead we pulled a Torii report that showed unused licenses. We saved about $7,000 by reassigning them,” said Beohm. They also set up a workflow that notifies the Zendesk application owner when there’s a seat that doesn’t meet their “last used” date criteria. “It’s really cool because now the app owner knows as soon as this happens and can take actions to reclaim the license. We do the same with Zoom. This is a big win for IT and app owners,” said Boehm.Beohm expects to save even more money when many of their SaaS app contracts come up for renewal towards the end of the year. In the meantime, he’s realizing tremendous time savings. “Things that took hours to do now take just one minute. Instead of executing everything, I orchestrate and administer. This frees me up to work on projects that are much more valuable to CD Baby’s business and employees,” he said.A good example of this are workflows that notify IT when they’re running low on licenses for apps that have historically required significant time to procure new licenses. Beohm explained, “When the apps reach a certain threshold, such as 10% availability, we can start the purchasing process. This ensures we have the licenses we need, and saves days of lost productivity for new hires or employees needing different apps or services as part of a role change.” ##### Partnering with Legal CB Baby’s IT team can now partner with its legal team to minimize the security and compliance risks of SaaS sprawl. “Our legal team is very excited about the visibility and risk assessments Torii surfaces about our SaaS applications, including the impact of integrations with Slack and Microsoft Azure. They can draft compliance policies that guide our organization to make smart decisions about apps and services, and work together with IT on a united front to do the right thing for our company and our employees,” Beohm said. “With SaaS sprawl and Shadow IT, it’s impossible for us to know everything and everyone that needs to be disconnected. But Torii knows.” Use cases: Application discovery & visibility, offboarding & onboarding, and contract management Slashed SaaS license procurement from days to minutes Cut license management tasks from hours to minutes Moved from near-zero to full offboarding visibility and administration Securely empowers employees to innovate with cloud apps Favorite Torii Feature: Torii Workflow Engine “Torii’s workflows are even more incredible than we imagined. We can easily automate and test any SaaS management action we want. It’s a huge win for IT and makes everything much more scalable.” “Torii is the only solution that discovers all our SaaS apps and automates any SaaS management task. It’s elegant and easy to use out of the gate, with a level of customer support that’s rare in this industry.” # Page Title Cloudinary saves time and drives team productivity with Torii | Torii ## Page URL https://www.toriihq.com/case-studies/cloudinary-case-study ## Page Description Manage all your SaaS apps. In one single place. Torii lets IT professionals discover, optimize, and control their organization’s SaaS usage and costs. ## Details ### Cloudinary saves time and drives team productivity with Torii “We save almost a day of work each week since moving to Torii. Workflows are essential to maximizing efficiency, and anyone can build them easily and quickly” #### Customer Profile Cloudinary is a cloud-based visual media management platform that helps users more easily create, manage and deliver media assets across any browser, device and bandwidth — at scale. Founded in 2012, Cloudinary is the visual media management solution of choice for nearly 1 million developers and 7,500 customers, including Neiman Marcus, NBC, Sony, Fiverr, Peloton and Under Armour. The company has 300 employees worldwide with offices in the US, UK, Israel, Poland and Singapore. Image: Vicki Thompson for San Francisco Business Times As a growing company, Cloudinary found it faced several key challenges with managing its many Software-as-a-Service (SaaS) applications. Collaboration has always been the cornerstone of Cloudinary’s company culture, but as the workforce grew, promoting and enhancing alignment across SaaS usage required more time and attention. Cloudinary’s decision-makers knew that removing excessive SaaS tools would enable them to enhance digital collaboration across the company and save on the cost of any unnecessary licences. With an enhanced SaaS management system in place, challenges around integration and access could also be addressed. The company needed a solution to enable it to become more agile and aligned around SaaS usage. Another SaaS management challenge for Cloudinary was the lack of easy visibility over its SaaS usage. “As a leader, data is everything,” explains Uria Sherman, Global IT Director at Cloudinary. “Lack of visibility can equate to a lack of security and a lack of cost control.” Prior to using Torii, Cloudinary was using another SaaS management service, but it did not provide the company with the level of data and control it wanted. Cloudinary’s need for a more agile SaaS management solution led Uria to Torii. #### How Torii Helped For Uria, visibility, security and continuity were key factors in opting for Torii. “We don’t want to question employees about their SaaS use in order to understand which licenses should or shouldn’t be renewed,” says Uria Sherman. “With Torii in place we have visibility over all that information, plus the ability to manage licences and create automation around contract renewals. And from a security standpoint, we have visibility without interrupting people’s everyday workflow, which is great for productivity.” Since moving to Torii, Uria says that Cloudinary has benefitted in a number of ways: ##### 1. Significant time savings Uria estimates that he is saving up to a full day of work each week since moving to Torii, thanks to its automation and governance features. ##### 2. Cut costs while ensuring consistency By managing and restricting the use of unnecessary SaaS, the company was able to use the best SaaS available, cut out the drag of unnecessary SaaS costs and align SaaS usage across its teams. By using Torii, not only did the company benefit from increased alignment and productivity across its workforce, it also saved on all the unnecessary licence fees around excess SaaS. ##### 3. Easier team collaboration Using Torii as its SaaS management tool has enabled Cloudinary to consolidate SaaS usage for easier collaboration across all teams throughout its 300-person workforce. ##### 4. Simple, automated SaaS management Rather than continuously running manual checks around SaaS usage, Cloudinary streamlines SaaS with Torii’s application catalog, ensuring that employees only use company-approved SaaS. In terms of security and cost, it’s a win-win scenario. People at the company have access to the SaaS they need to get their work done well, while Cloudinary’s leadership enjoys visibility and control over SaaS consumption, employee onboarding and offboarding, and more. ##### 5. Access to critical app data Torii empowers Cloudinary to use data, so the company can initiate internal discussions around SaaS – whether that’s at management level or within its relevant teams. Reduction in overall IT work since implementing Torii “When we started using Torii, it was truly the first time we’d had such clear visibility across SaaS applications. Torii gives our CFO and finance team visibility on the cost split related to SaaS.” # Page Title Gorillas' SaaS Visibility & Automation Support Lightning-Fast Growth at Scale | Torii ## Page URL https://www.toriihq.com/case-studies/gorillas ## Page Description Manage all your SaaS apps. With a mission to create immediate access to essential needs, the company promises delivery in minutes from grocery cart to customer location. Users of the Gorillas app can access more than 2,000 essential items at retail prices.Founded in 2020, the company has more than 14,000 employees in 55 cities, 9 European countries, and the US. It reached a $1 billion valuation in its first year of business. When Bobby Abdullah joined Gorillas in 2021 as its first full-time IT hire, the company already had almost 2,000 employees. The HR team had been responsible for creating new accounts for business-critical SaaS applications. It took 10-20 minutes to manually provision each employee. Because Gorillas was growing at lightning speed, HR didn’t have the capacity to handle everyone, so newly onboarded employees needed to receive accounts without negatively affecting HR capacity. There was also no centralized mechanism for monitoring what SaaS apps the company had, who was using them, and which licenses were under-utilized. As a result, Abdullah felt sure Gorillas was wasting time and overspending on its licenses.“The only way to gather the information we needed about employees and their apps was by speaking with their managers and colleagues. With so many people joining every day – 6,000 employees just in the last year – it was an impossible task,” said Abdullah, IT Projects & Governance Gorillas. #### Why Gorillas Chose Torii Fortunately for Gorillas, Abdullah had experienced similar challenges at one of his former employers, where he conducted extensive research into solutions that could solve them. He said, “I quickly figured out Gorillas needed a SaaS Management Platform (SMP) to handle app discovery, onboarding, offboarding, and license and contract management. Within two weeks of working here, I recommended we purchase Torii.”According to Abdullah, Torii’s discovery capabilities were superior. “Torii’s discovery is one of its most important features. Its browser extension technology enables us to find every tool we have, even ones HR and IT didn’t provision,” he said. “Torii doesn’t lie. It tells you exactly who is logged in to which applications, what type of users they are, and the amount we’re spending on the license. Having 100% accurate data puts us ahead of the game when it comes to managing SaaS.”Abdullah was also attracted by Torii’s rich automation, which is one of the platform’s key differentiators. “Torii’s granular and flexible automation for onboarding, offboarding, and license management exceeded my high expectations. We can customize workflows on many levels that make sense for us, such as warehouse or headquarters, department, group, timing, or any other dataset. Other tools don’t offer these capabilities.”He summed up his decision to go with Torii this way: “To me, Torii is the most mature SaaS management platform on the market. It has superior discovery, automation, and integrations, plus its customer success and support teams are amazing. Together, they make for the best SMP offering.” #### How Torii Helps Gorillas ##### Drives Collaboration and Savings Gorilla’s ability to monitor all SaaS apps and how they’re being used in real-time makes it easier for IT to collaborate with other departments. “The information Torii surfaces helps put everyone on the same page, focusing on the right problems,” Abdullah explained. “The workflows make sure teams work together efficiently and that things don’t fall through the cracks. The reports give everyone from IT and security to legal and HR key data they need to effectively do their jobs.”Abdullah estimated that Gorillas’s IT team easily saved thousands of hours because of Torii. “Torii does the onboarding, offboarding, license, and contract management work on its own. This saves us a lot of time and allows IT to focus on other priorities, like optimizing governance,” he said. ##### Eliminated SaaS Management Help Desk Tickets Before Torii, about 20-30% of Gorillas’ help desk tickets were related to onboarding and offboarding hardware and software, and handling license management. As the number of employees skyrocketed, help desk tickets also exploded – from about 200 to 14,000 tickets. However, after Torii, significantly less was related to software. “We rarely receive any tickets for onboarding or offboarding core employee SaaS accounts anymore. Torii eliminated those problems,” said Abdullah. ##### Easily Onboards Employees at Scale Gorillas deployed Torii’s onboarding and offboarding workflows about a month after using the solution. The results were immediate. “As soon as onboarding was set, half my scope changed. Torii automatically did everything that I was doing manually. Onboarding is now standardized and streamlined. Everything is triggered through integration with our HR Management System. People get the apps they need right away with the right permissions,” Abdullah said. This is especially important as Gorillas continues to scale. According to Abdullah, “Gorillas was growing at a crazy pace. Torii enabled us to stay on top of things as we scaled. It helps us keep employees happy and productive.”Gorillas is about to add about 10,000 more of their employees into Torii. Abdullah has no qualms, though, since he knows their app onboarding, and offboarding, will go smoothly. ##### De-risks SaaS Application and Data Access Now that offboarding employees who leave Gorillas is triggered through the HRMS, access to all core tools as well as to unsanctioned apps that are connected to known apps is automatically shut off.According to Abdullah, “Company data shouldn’t be available to people who leave. With Torii, we’re able to virtually eliminate this risk. This makes our legal team very happy. Plus, we save significant time by eliminating the 10-20 minutes previously spent manually offboarding each employee from known applications.” ##### Saves Money through License & Contract Management When Gorillas turned Torii on, they instantly found hundreds of licenses that were assigned but unused. “Right away, we saved thousands of euros every month without any effort by eliminating those licenses,” said Abdullah. They also discovered many duplicate tools. Abdullah commented, “Torii helped us rationalize our apps by identifying redundant tools and comparing usage. We then polled users to find out which top 5 apps were fan favorites and eliminated counterparts that weren’t.”Gorillas leveraged real-time app usage and cost-per user data to right-size licenses. And with Torii workflows that alert app owners 90 days in advance of renewals, they have enough time to process the data and renegotiate vendor contracts.Abdullah explained, “We were able to communicate all this information to the right stakeholders and tell them what cost-saving measures to take. This saved Gorillas hundreds of thousands of euros in software and licenses for the first fiscal year.” “When we turned Torii on, we instantly found 180 apps. I didn’t think we had more than 100! We were able to offboard 50+ users upon deploying torii due to the visibility.” Use cases: Application discovery & visibility, offboarding & onboarding, license and contract management Favorite Torii Feature: Torii Browser Extension and Workflow Engine “Workflow because of the huge time savings, and discovery through the browser extension. Torii finds all applications automatically. No other platform has such rich Shadow IT discovery.” “Torii is my favorite tool ever. It offers so many capabilities beyond traditional SaaS management and does them all well. On top of that, Torii’s customer service is wonderful. They’re so much more responsive, helpful, and forward-thinking than other SMP vendors.” # Page Title How Heap solves SaaS spend, Shadow IT, and operational challenges | Torii ## Page URL https://www.toriihq.com/case-studies/heap ## Page Description Manage all your SaaS apps. In one single place. Torii lets IT professionals discover, optimize, and control their organization’s SaaS usage and costs. ## Details ### How Heap solves SaaS spend, Shadow IT, and operational challenges #### Customer Profile Heap is a leading digital insights platform that gives businesses a 360-degree view of their customer journeys and delivers “better insights, faster.” Founded in 2013, Heap serves more than 8,000 businesses in their pursuit to build and improve digital experiences for their customers. With Heap analytics, they’re able to see, understand, and act on any and all customer data so those customers continue coming back for more. Heap has experienced incredibly rapid growth over the years. Prior to using Torii, their IT team was operating in a largely reactive state when it came to their cloud applications —fulfilling urgent requests for help, approving SaaS purchases, and granting the appropriate employees application access as quickly as possible—which was necessary to support employee productivity and scale operations as fast as the rest of the business. This rapid pace and reactive state did however make it a challenge to maintain a single source of truth (SSOT) for all things SaaS. Various teams use spreadsheets or Google docs to keep track of applications. Finance had their own for SaaS spending, compliance used another to cross-reference which apps went through a review with the compliance team. The reliance on manual processes and the decentralization of data sources left information gaps. When Mansur Wadalawala, Director of IT & Data, joined Heap, it was his goal to illuminate those unknowns, streamline SaaS data management, put stronger governance controls around their apps, and implement a SSOT. “We needed to understand exactly which apps we have, who has access, and how much we’re spending, but it took a ton of research and networking to get close to an answer,” said Corrine Pusillo, IT Operations Engineer at Heap. The Heap IT team was also concerned about the growing presence of Shadow IT, which they needed to bring to light. Wadalawala explained, “Our company was growing fast, and people were using a lot of new cloud apps. Heap had protocols and rules for adopting apps, but employees weren’t always following them. They were almost de-incentivized from doing so because they knew IT bottlenecks would slow them down, and they could adopt apps faster if they did it on their own. So, we needed to quickly find a solution, and one that would improve our efficiency.” #### Why Heap Chose Torii Heap needed a SaaS Management Platform (SMP) that would get everyone in the organization on the same page and help truly manage their SaaS stack. After evaluating six SMPs, Torii was the clear winner. At the top of Heap’s wishlist was a solution that would discover the entire scope of their SaaS sprawl. “We knew that before we could solve challenges like spend optimization, application redundancies, and Shadow IT compliance, we had to first gain complete visibility. Torii’s extensive application discovery was a big selling point for us, and we’ve not been disappointed,” said Wadalawala. Completing compliance checks for every single app was a major to-do for Heap’s IT team. They had standalone apps covered in that regard, but knew that checking compliance of apps integrated through Slack would be a challenge. Heap’s teams use channels and tools in Slack, and IT needed discovery capabilities to parse through apps enabled by Slack as well. “Most SMP vendors we spoke with said it wouldn’t be possible and that we needed to upgrade to Slack Enterprise to get the visibility we needed. Torii, on the other hand, didn’t limit us and once we connected to Slack, we saw all the apps we needed to inventory and bring into our compliance program,” said Wadalawala. They also needed detailed reporting and an interface that presented SaaS data in a clean, digestible way. “With other SMPs, there was too much noise, which made it hard to act on the data. It was just overwhelming,” said Wadalawala. “Torii made it very easy to cut through noise so we could pinpoint data and insights that we needed to make decisions.” Cost control was particularly important and Torii’s spend management also won the team over. “In one instance, we double paid for app licenses because there were multiple admins who were getting notified about upcoming or past due payments, and we ended up sending payment by credit card and the same payment by ACH,” said Wadalawala. “Torii was incredibly easy to implement and gave us a way to create a centralized, coordinated process for spend management.” In place of the disparate documents and spreadsheets, Torii became a SSOT for all SaaS stakeholders giving everyone visibility into ongoing app discovery, usage, users, spend data and more. #### How Torii Helps ##### SaaS sprawl and compliance managed “With Torii, the time-to-value, especially for app discovery, was immediate,” said Wadalawala. “On day one, Torii exposed a lot of those unknowns, like how big of a problem SaaS sprawl really was. We expected to find between 100-200 apps in our SaaS stack, but we were blown away to find nearly 500 apps.” Not only did Heap gain visibility of the apps, but also the data associated with them. Now they know exactly who is using which applications. “Torii minimizes SaaS sprawl and Shadow IT challenges. We no longer have to play whack-a-mole to put out IT fires related to compliance,” said Pusillo. ##### Cost controls and spend management simplify budgeting Heap’s IT team are the primary users of Torii, but it’s also become a valuable tool for those with a vested interest in budgeting and spend management. With Torii as their SSOT, everyone involved in Heap’s budgeting process has access to the information they need. Heap’s finance, sales ops, and other teams have their own logins for Torii. They can see relevant SaaS spend and usage data, which they use to analyze trends, pinpoint waste including redundant and under-utilized applications, and renegotiate contracts. Finance also works directly with IT so that they can validate invoices, double-check data, and have ongoing, data-informed conversations about spending over time. “Before using Torii, we didn’t have a foolproof way to decide who got what kinds of licenses or where we needed to scale back. We would have to go into each application, one-by-one, which we don’t have the bandwidth for. Torii makes it easy,” said Wadalawala. For example, when Heap began preparing to renew their Zoom contract, they knew not every employee would need a premium license. With Torii, the IT team was able to see how employees were using Zoom and identify which users rarely host meetings that exceed 30 minutes. They use that information to prepare for renewal and create new licensing workflow rules in Torii. They also use Torii’s offboarding workflow to deprovision licenses from people who have left the company and reharvest them for other users, instead of purchasing new licenses. The combination of all these cost controls resulted in initial savings to the tune of $100,000. ##### Automated workflows drive greater operational efficiency Torii’s automated workflows were a pleasant surprise for Heap. “We thought automations would be ‘nice to have’ but once we implemented Torii, it became clear that they were really valuable. Torii’s workflow automations take care of all the heavy lifting for tasks we had previously handled manually,” said Wadalawala. Torii helped eliminate onboarding bottlenecks, which was a win for IT and the People team. In fact, Torii saves Heap 20 minutes of onboarding time per person, speeding up onboarding by 30%. “Torii integrates with our HRMS and IDP, so as soon as a new hire joins, Torii automatically grants access to standard apps, Slack channels, and Google groups based on their role and other identifiers,” said Pusillo. Automations also helped eliminate those ominous unknowns, like surprise renewals, and new Shadow IT. “Torii keeps us in the know,” said Wadalawala. “For instance, IT is automatically notified when we’re approaching a licensing threshold, or someone adopts a new application using company credentials. We also have a workflow set up so that if someone hasn’t used an app in 60 days, Torii automatically de-provisions that user.” ##### Greater alignment and value for all Torii helps Heap break down data silos so the entire organization can eliminate unknowns, collaborate better, and derive greater value from their SaaS investments. Use Cases: App Discovery & Visibility, Spend Management, Onboarding & Offboarding workflows SaaS Surprise: “We were concerned that time-to-value would be slow or that it would take a lot of work to find the right data. But with Torii, we saw value right away.” Favorite Torii Feature: App Discovery “Torii made it very easy to cut through noise so we could pinpoint data and insights that we needed to make decisions.” # Page Title hhpberlin Ends Shadow IT, Saves €500,000 & Proves Compliance | Torii ## Page URL https://www.toriihq.com/case-studies/hhpberlin ## Page Description Discover, analyze, and manage all your SaaS data in one place. Torii makes it easy for IT pros to optimize their entire SaaS stack, eliminating Shadow IT, cutting SaaS spend, and automating even the most complex user, application, and license workflows—all without ever leaving the Torii platform. ## Details ### hhpberlin Eliminates Shadow IT, Saves Over 500,000 Euros, & Proves Compliance #### Customer Profile For over twenty years, hhpberlin has been pioneering the next generation of fire engineering. With their team of over 200 experts and suite of customized fire protection concepts, hhpberlin provides customers with safer, more sustainable engineering methods to build with confidence. Having traditionally leveraged expensive and high-maintenance on-premise tools, hhpberlin sought to make their company more agile by adopting SaaS applications. Unfortunately, without a scalable SaaS management process in place, their IT team quickly found themselves struggling to manually track their SaaS ecosystem. Working closely with Finance, IT would manually parse through financial statements to find and record the cost of every SaaS application within a spreadsheet. Not only was this process time-consuming and error-prone, but it revealed two core SaaS management problems. ##### Shadow IT Fuels Wasted Spend First, IT had no reliable way of discovering Shadow IT apps as they were adopted. Their manual discovery method of parsing financial statements meant that IT was always the last to know about a new app. Additionally, it failed to detect freemium apps which also posed significant security threats. This delayed and incomplete discovery method contributed towards visibility gaps that hurt other processes like employee offboarding. ##### Reactive IT Strategy Secondly, IT was forced to become reactive decision-makers. Spending most of their time responding to erroneous SaaS costs and risks, IT had no bandwidth to focus on more strategic initiatives. This left them unable to create a scalable SaaS management process to continuously optimize and secure their SaaS stack. In short, IT was stuck in an inefficient and unreliable SaaS management cycle. These problems only worsened in March of 2020 when Coronavirus moved their 200-plus employee workforce fully online. Employees began rapidly adopting SaaS applications without IT’s knowledge. The spreadsheet that served as hhpberlin’s application inventory, quickly fell completely out of date. Stefan Truthän, the CEO of hhpberlin, recounts this experience, “We needed a tool to manage our SaaS environment. Without it, it was nearly impossible to manage SaaS discovery and costs. We tried tracking everything manually with an Excel sheet, but our SaaS ecosystem changed so quickly that it was impossible to keep up.” Taking stock of their SaaS challenges, Stefan began the hunt for a SaaS management platform with discovery and cost optimization in mind. That’s when he found Torii. #### Why hhpberlin Chose Torii Truthän said, “As soon as I saw Torii’s platform, I knew it was the right match for us. It was my goal to find a solution that would help me discover and manage all of my cloud applications. After seeing Torii’s end-to-end capabilities I was confident I found what I was looking for.” With Torii’s robust discovery, optimization, and automation capabilities Truthän was confident hhpberlin would be able to: Today, Torii has become hhpberlin’s single source of truth for SaaS management. Not only does Torii reveal their entire tech stack, but it also eliminates the manual and redundant tasks that kept IT busy. Now, hppberlin’s IT team is able to focus on optimizing and securing their SaaS infrastructure. “Now, with Torii, I don’t only get a record of all my SaaS apps, but I can decide who is the app owner for them, see how many users they have, how often they’re used, and rest easy knowing this data is accurate because it’s cross-referenced across two, four, or even five different sources,” said Truthän. #### How Torii Helps ##### Shining a Light on Shadow IT One of hhpberlin’s main goals was to reveal their actual SaaS stack and its costs. While their IT team had been manually tracking SaaS apps that appeared on their financial statements, they were shocked to see how many unaccounted-for Shadow IT apps were revealed once they implemented Torii’s browser extension. “Torii’s browser extension was key,” remarked Truthän. “We originally thought we had about 80 apps in our SaaS ecosystem but found over 180 of them once we deployed Torii’s extension. I was shocked.” Now, IT no longer has to wait for SaaS costs to appear on financial statements to begin piecing together the true state of their SaaS ecosystem. Instead, Torii’s advanced AI discovery and mapping immediately reveals SaaS apps used across hhpberlin’s organization, alerting IT as soon as they’re adopted. These proactive insights allow IT to tackle Shadow IT, wasted spend, and SaaS risks at their source, immediately reaching out to app owners to understand the app’s intended usage and costs, and triggering an app review. Torii’s ability to capture granular user, adoption, and usage data, has provided hhpberlin with an always up-to-date SaaS system of record. “I trust that Torii detects 100% of SaaS applications in our organization and provides the granular user and usage data I need to optimize our SaaS stack,” said Truthän. “Torii is now a mandatory tool that helps detect applications in our organization and its ability to easily create custom applications also allows me to track on-premise tools alongside my SaaS apps, providing me a single place to see and manage all of my tools.” ##### Optimizing SaaS Spend With Torii providing a SaaS source of truth, hhpberlin uncovered all of their SaaS spend while analyzing rich cost-saving insights and recommendations to rationalize their SaaS stack. hhpberlin always knew their SaaS spending was drastically increasing since pivoting from a mostly on-premise to SaaS-based organization. Even so, their older process of manually tracking spend per application within a spreadsheet prevented them from gaining a holistic view of their SaaS costs as well as the user, adoption, and usage insights needed to properly rationalize their tech stack. Originally, believing hhpberlin’s SaaS spend to be no more than a couple hundred thousand Euros, Truthän was surprised to see that Torii revealed substantially higher costs: “With Torii, we saw that hhpberlin was spending close to 1.5 million Euros on SaaS apps by 2021. We knew that there was room for optimization and relied on Torii’s insights to get started,” said Truthän, “For example, we were able to easily identify all of our paid for SaaS apps with little to no users or usage, providing a shortlist of apps to close for immediate savings. That was really impactful.” In 2022 alone, hhpberlin saved over a half million Euros by closing unused and redundant SaaS applications. Even after addressing the core causes of their wasted spend, namely Shadow IT subscriptions and surprise renewals, hhpberlin kept realizing continuous savings by leveraging Torii to reclaim unused and past user licenses, right-size SaaS renewals, and eliminate surprise renewals. “Now, in 2023, we’ve been able to continue optimizing our already-rationalized tech stack, saving over 40,000 Euros across just five SaaS apps,” said Truthän. “It’s easy to say that Torii has paid for itself and then some!” ##### Slashing Time Spent on IT Tasks In addition to saving hundreds of thousands of Euros, hhpberlin was also able to drastically cut IT’s time spent on employee onboarding and offboarding with Torii’s advanced workflows. By analyzing application usage by department, IT could determine which tools were mission-critical for different parts of their organization and preconfigure an onboarding workflow to automatically grant users access to key SaaS apps based on their role. Now, instead of waiting for IT to approve each application request, new hires can get up and running with the tools they need as soon as they’ve joined the company. hhpberlin was also able to fully automate and secure their offboarding process. Torii’s AI discovery and mapping ensures employees are offboarded from their SaaS apps, including Shadow IT apps. But that’s not all. Torii’s advanced automation allows hhpberlin to customize their offboarding workflows to fit their company’s policies. Now, managers can approve employee offboarding and automatically receive past employee data and emails as soon as the process is complete. This way, hhpberlin can prevent data loss while ensuring no ongoing initiatives are stagnated. “Everyone’s SaaS landscape is always changing but Torii remains my north star in controlling it. With Torii we could detect all of our SaaS apps, optimize them, and prove compliance—all in one place. Torii provides the structure we need,” said Truthän. ##### Proving Compliance Another benefit of hhpberlin’s newly gained SaaS source of truth is the ability to easily prove compliance. Torii’s always up-to-date records of SaaS apps, users, licenses, and robust audit logs eliminates the manual labor and guesswork traditionally associated with proving compliance. Now, IT can simply send any required information to auditors with only a few clicks of a button.“With Torii, hhpberlin was able to get ISO 27001 certified,” said Truthän. “One of the questions the auditor asked was how we were able to control and maintain our SaaS ecosystem. I showed them our Torii platform, walking them through our discovery capabilities, application list, and audit logs, and they were shocked how easily we could access everything we needed. They thought it was great. I would say Torii is definitely the main element in gaining and maintaining our ISO certification.” “Everyone’s SaaS landscape is always changing but Torii remains my north star in controlling it. With Torii we could detect all of our SaaS apps, optimize them, and prove compliance—all in one place. Torii provides the structure we need.” Use Cases: Application Discovery & Visibility, Spend Optimization, Onboarding, Offboarding, License Management, Risk Reduction SaaS Surprise: “I was surprised by how easy Torii is to use while still providing all of the insights you need. When you open Torii, you get a high-level overview of your entire ecosystem, from the amount of users and apps in your org to your expenses, risk and compliance, and more.”– Stefan Truthän, CEO of hhpberlin Favorite Torii Features: AI Discovery & Mapping, Browser Extension, Cost-Saving Insights “Torii is so necessary to hhpberlin’s success that it’s like oxygen for us. We need it to execute crucial tasks, fulfill key requirements, and succeed as a company. I always recommend Torii to my colleagues because I know it works. It will provide them with all of the insights they need to discover, optimize, and secure their tech stack. # Page Title HiBob Discovers 800 Shadow IT Apps & Cuts 22% of SaaS Spend | Torii ## Page URL https://www.toriihq.com/case-studies/hibob ## Page Description Discover, analyze, and manage all your SaaS data in one place. Torii makes it easy for IT pros to optimize their entire SaaS stack, eliminating Shadow IT, cutting SaaS spend, and automating even the most complex user, application, and license workflows—all without ever leaving the Torii platform. ## Details ### HiBob Discovers 800 Shadow IT Apps & Cuts 22% of SaaS Spend #### Customer Profile: Founded in 2015 in Israel, Hibob is a leading HR technology company registered in the United Kingdom and with an office in New York City. Specializing in innovative people management solutions, their flagship platform, the Bob platform, streamlines HR processes, enhances employee engagement, and optimizes organizational performance, making HiBob a trusted partner for modern, people-centric businesses worldwide. #### Challenges: The Pre-Torii Era Historically, HiBob’s IT and procurement teams acted as SaaS gatekeepers for the rest of the organization. They would purchase key apps and assign licenses individually. Employees were encouraged to work strictly within these applications, requesting new ones when their needs weren’t met and waiting for the IT and procurement team to evaluate and onboard them accordingly. However, as HiBob continued to grow, they found that their current system was not scalable. As the company reached 900 employees, IT and procurement soon faced a bevy of challenges: As a result of these mounting changes and challenges, HiBob faced a series of new SaaS challenges that they were only too eager to face head on. #### Shadow It Adoption Ran Rampant Thanks to HiBob’s spike in new hires, a culture of shadow IT was noticed with employees routinely adopting freemium apps and charging costly subscriptions to their company credit cards—without reporting these actions to procurement or IT. Raveh Kahaner, the Head of Global Procurement, reflected on the past state of HiBob’s SaaS stack, “The CEO had asked me to look into our SaaS stack starting in 2022. We knew we had lost true visibility. The overall feeling was that our company was exploding with tools but we were missing insights into what apps were being used, which employees were using them, how much they cost, and whether or not they were needed. It’s impossible to manage the unknown and we knew we needed to protect ourselves from serious risks and draining our SaaS budget.” HiBob’s lack of visibility into shadow IT, let alone app usage, costs, and licenses, cast a cloud over their budget, risks, and operations. Even their offboarding processes were impacted as there wasn’t enough transparency overwhich tools had been used by former employees. #### SaaS Expenses Became Bloated Without true visibility into their tech stack, HiBob faced unexpected renewals, inefficient spending, and challenges in strategically managing their SaaS budget. The need to optimize application and license usage came into stark focus. Redundant apps created siloes and spiked SaaS expenses and multiple surprise renewals occurred every year. HiBob knew they needed to gain reliable transparency into their SaaS expenses in order to begin successfully planning and managing their SaaS budget. The procurement team was tasked with painstakingly combing through expense reports to find erroneous and duplicate SaaS charges, allocating valuable time and resources to reactive processes—all with the goal of preventing further wasted spend but with no means to recoup what was already lost. “When I joined the company, Finance pointed out that it looks like we had a tendency to auto-renew contracts and pay for licenses without ever questioning their value,” Kahaner reflected. “Auto-renewals would sneak up on us and we didn’t have the data we needed around contracts, adoption, and usage to rationalize our SaaS stack. We were aware of a considerable amount of inefficient spend, but lacked the necessary tools to address the issue.” HiBob’s partial view of their SaaS stack didn’t only contribute to wasted spend but also slowed SaaS tasks. #### Limited Data Slowed Operations While procurement was tasked with sifting through expenses, their IT team faced a similarly daunting challenge. Without insight into which apps were used or who used them, IT had no way to standardize or automate many key operations—especially onboarding and offboarding. This meant they had to spend upwards of 1.5 hours manually onboarding and/or offboarding each employee across every known SaaS app in the organization. Not only did these manual processes negatively impact new hires, preventing them from gaining timely access to the tools they need, but it also exacerbated offboarding risks. With this in mind, HiBob decided it was time to implement a SaaS management platform. They soon found Torii was the perfect fit. #### Why HiBob Chose Torii Driven by the need to regain control of their SaaS stack, HiBob turned to Torii. Torii’s robust discovery, optimization, and automation capabilities promised to: “Today, Torii is my SaaS co-pilot. I wasn’t able to achieve my SaaS management goals without it. There really is no way you can effectively manage over 200 apps without a SaaS source of truth, and that’s exactly what Torii gives us,” said Kahaner. #### Illuminating Shadow IT: HiBob anticipated discovering over a dozen Shadow IT apps, but the truth was far more sobering. Torii’s secured browser extension and underlying AI discovery and mapping algorithm were instrumental in shedding light on the true extent of HiBob’s SaaS sprawl. The platform uncovered a whopping 800 shadow IT apps, including freemium and costly subscriptions. Kahaner recalled his initial reaction, stating “After deploying Torii I was taken aback by the huge gap between the SaaS apps we were managing, how many we believed existed, and the reality. We knew we were struggling to account for all of our SaaS apps, but had no idea there were hundreds of them left unaccounted for. Torii gave us that visibility.” Now, instead of tediously picking through expense reports to find user-adopted applications, IT can look at Torii’s Application page to see a full list of apps used across the organization, including their state (i.e. “discovered,” “in review,” “sanctioned,” etc.). What’s more, IT immediately receives emails and/or Slack notifications whenever a new application has been adopted and can automatically send personalized messages to end users requesting details. But that’s not all. Torii provides granular insights into application adoption and usage at both the individual and department levels. These insights provide IT with a clear picture of what tools are needed within the organization and by which team, helping to construct a sanctioned yet comprehensive SaaS stack to better empower employees. After understanding which apps were vital to employee success, IT was able to rationalize Hibob’s SaaS stack, removing redundancies and unused tech. With Torii’s guidance, HiBob curated an optimized and secured list of just 200 paid-for applications that both aligned with employee needs and HiBob’s strategic goals. #### Eliminating Wasted Spend: Finance’s battle against wasted spend and surprise renewals found a formidable ally in Torii. After tackling SaaS visibility, HiBob’s procurement team had the insights they needed to begin mindfully rationalizing their SaaS stack. “From a usage perspective, Torii was very helpful in spotlighting areas of inefficiencies,” Kahaner said. “Torii provided us with pointed recommendations for immediate cost-savings, highlighting redundant and abandoned tools, unused and over provisioned licenses, the list goes on. We were able to realize some big savings quickly.” After realizing these quick wins, HiBob turned their attention to larger, more systemic issues: their lack of transparency into SaaS expenses and contracts. Luckily, Torii’s deep integration with Netsuite transformed HiBob’s black-boxed SaaS expenses into a detailed cost-savings playbook. Today, Torii provides HiBob with a detailed analysis of their SaaS spend, down to the individual department and user. Torii also instantly flags any new expenses as soon as they occur. This way, finance can proactively manage erroneous charges before they’re posted to HiBob’s statements and spend the time once invested in manually auditing expense reports on more strategic initiatives. This, plus Torii’s AI contract ingestion enabled HiBob to quickly unify all of their expense and contract data. Within a matter of minutes, Torii’s AI contract ingestion uploaded over 35 contracts to HiBob’s platform, along with all of their line items and auto-renewal clauses. These contracts were then instantly reflected in HiBob’s dynamic renewal calendar. Now, HiBob can see all of their SaaS renewals at a glance, better planning their SaaS negotiations by leveraging Torii’s usage and adoption trends, cost-saving recommendations, and benchmarks. HiBob’s team also configured renewal workflows to send automatic reminders to all relevant stakeholders 90, 60, and 30 days prior to a SaaS renewal.“Torii helped us put a stop to all of HiBob’s surprise renewals and get all of our SaaS apps off of employees’ company credit cards so renewals could be owned by procurement, ” Kahaner said. “We experienced tremendous results in cost-savings by initiating negotiations 90-120 days prior to renewals. Torii gives us more leverage and foresight for smatter, better, and cheaper renewals.” HiBob’s newfound transparency into their SaaS expenses resulted in a 18% SaaS cost reduction in 2022 and 22% reduction 2023. The results were clear, Torii was the financial co-pilot HiBob needed. #### Automating SaaS Tasks: Torii’s automation capabilities also helped to transform HiBob’s SaaS management processes. Aside from automating application discovery and expense management, Torii also streamlined HiBob’s employee onboarding and offboarding processes. After gaining insight into which apps were critical for various departments, HiBob began to implement Torii’s app catalog, providing employees with the ability to request access to a list of already sanctioned applications. Not only did this effort minimize shadow IT adoption, but it also increased employee satisfaction and efficiency as users spent less time searching for the tools they needed and more time on strategic initiatives. “HiBob is constantly growing so it can be nearly impossible to manually track every app and license request, especially when they’re messaged to you. Torii’s application catalog is scheduled to be deployed by HiBob in 2024, helping to change this process,” remarked Batel Zamir, HiBob’s IT Operations and Procurement Analyst. “Instead of having employees request a license from an IT or a business owner that manages an App, we have them following a more reliable process that also adheres to HiBob’s provisioning policies.” Torii’s automations also helped automate the employee offboarding process, automatically notifying App owners to confirm the removal of users from every application, including shadow IT, as soon as they left the organization. What once took over an hour and a half per employee was transformed into a zero-touch process, saving over 22 hours in offboarding time per month. “Torii’s workflow branching is fantastic,” said Zamir. “With Torii’s conditions, we can define users by departments, sub-departments, and even titles. This way we can meet the exact needs of HiBob and its employees.” Now, IT can rest assured all of HiBob’s sensitive data remains secured and can easily prove compliance with automatically generated and robust audit logs. “I rely on Torii as my source of truth to provide all of the renewal data I need to make informed decisions and better negotiations. Before Torii, I had limited insight into users, usage, and licenses. I would have to rely on the vendor to bring that data to renewal conversations. Now, I’m armed with the data I need to advocate for myself and get the right amount and type of licenses we need at the best price possible.” Use Cases: Application Discovery & Visibility, Spend optimization, Onboarding, Offboarding SaaS Surprise: “After deploying Torii I was taken aback by the huge gap between the SaaS apps we were managing, how many we believed existed, and the reality. We knew we were struggling to account for all of our SaaS apps, but had no idea there were hundreds of them left unaccounted for. Torii gave us that visibility.” – Raveh Kahaner, Head of Global Procurement, HiBob Favorite Torii Features: AI Discovery & Mapping, Browser Extension, Dynamic Renewal Calendar & Alerts “Today, Torii is my SaaS co-pilot. I wasn’t able to achieve my SaaS management goals without it. There really is no way you can effectively manage over 200 apps without a SaaS source of truth, and that’s exactly what Torii gives us.” # Page Title Hired illuminates Shadow IT, simplifies its SaaS stack, and saves money with Torii | Torii ## Page URL https://www.toriihq.com/case-studies/hired ## Page Description Manage all your SaaS apps. Founded in 2012 and backed by global HR leader The Adecco Group, it combines intelligent job matching with career counseling to help people find jobs they love.Hired’s employees have helped over 3 million vetted candidates find new opportunities at more than 10,000 companies throughout the US, Canada, Ireland, and the UK, while saving those companies 45 sourcing hours per hire. Efficiency and accuracy are part of Hired’s DNA and core to their operations. They’re what enable customers to quickly find dream jobs and dream candidates. However, when it came to managing their growing cloud application stack, manual processes and incomplete data made time and monetary savings hard to come by.“We had a lot of SaaS applications but no good data on exactly which ones they were, who was using them, how they were billed, and when licenses would renew,” said Michele Chan, Hired’s Senior Manager of IT Operations. “Our information was in outdated spreadsheets. It was hard to keep up, especially when Vettery acquired Hired and the number of people in our company increased by 35% while our SaaS app stack grew.”Hired often spent several weeks per SaaS contract identifying the owner and reviewing terms. This left little to no time to evaluate the need for the app, resize or terminate the contract.“We wasted too much time on manual processes, including onboarding and offboarding, and too much money on unused licenses and unnecessary renewals,” Chan said. “We needed to uncover Shadow IT to get visibility into all our SaaS apps, understand utilization so we could right-size licenses, and automate processes.” #### Why Hired Chose Torii Hired conducted extensive Proof of Concepts with four SaaS Management Platform (SMP) solutions. Torii came out far ahead.According to Chan, “Torii was hands-down better than other SMPs. It found all the applications we had, including ones we didn’t even know about. Its data was completely accurate, so our IT, finance, and security teams could count on it to make the right decisions. Torii was also much better at understanding spend and giving us a full picture of our SaaS landscape.” Chan was especially impressed with Torii’s unique Browser Extension, which captures endpoint actions in real-time. “Torii’s Chrome Extension is incredibly valuable. It makes it easy for us to discover Shadow IT SaaS, even when people aren’t using their company email or Slack to log in. It was also an enormous help as we integrated all our systems to become one company under the Hired brand.”She added, “We got value from Torii on day one. Its out-of-box integrations were a snap and enabled us to get insights right away.” #### How Torii Helps Hired ##### Complete Visibility and Accurate Data When Hired first connected Torii, they were surprised to discover 300 SaaS tools – which was about three times more than they thought they had.Chan said, “Torii’s Chrome Extension tells us exactly what we have in our stack. It’s all right there for us to see. Having this information in real time helps us stay on top of Shadow IT, and see who is using what tool and how often. We no longer chase people to find owners and ask what they’re doing with apps.” Hired’s new-found understanding also helps give voice to employee needs. “We can now give people an opportunity to be more vocal about what they want, instead of them signing up for applications that may not be as useful or cost-effective.” ##### Accelerates Offboarding & Onboarding Like many companies experiencing the Great Resignation, Hired has to devote time to offboarding people from SaaS tools. Instead of taking a half-hour to manually offboard a former employee – and make sure they can’t access company data – it now takes less than 5 minutes.Chan explained it this way: “Torii’s automated workflows make offboarding fast and easy. There’s no second-guessing about whether it was done. There’s one workflow, no questions, and a complete audit trail.” Now that the company is increasing hiring, it’s planning to enhance its onboarding workflows as well. ##### Saves Money on Licenses and Duplicate Applications With data on license renewals readily accessible and 90-day reminders given to IT and app owners, Hired can proactively decide what actions to take on contracts. “Torii’s app discovery and built-in integrations help us better understand our tech stack and license utilization. We make better business decisions on how to consolidate and eliminate redundant apps and cut costs,” Chan said. “It saves us a lot of guesswork and provides the justification needed for removing licenses.”For example, by identifying employees whose Zoom meetings typically last less than 40 minutes, Hired was able to switch them to Zoom Basic under their Enterprise plan instead of allocating a licensed seat. And by surfacing how often people were using LastPass, Hired was able to right-size the contract, reducing the cost by 38%. “Torii’s Chrome Extension tells us exactly what we have in our stack. It’s all right there for us to see. Having this information in real time helps us stay on top of Shadow IT.” Use cases: Application discovery & visibility, offboarding & onboarding, contract management 85% reduction in offboarding time Saved over $1.7 million in SaaS apps Eliminated surprise renewals # of Apps Currently: 135 SaaS Surprise: “When I connected to Torii, we saw we had 300 apps – 200 more than we expected!” Favorite Torii Feature: Torii Browser Extension “Torii works exactly how you would want an ideal SMP to work. The data it provides is extremely accurate. You can see every SaaS tool you have, how they’re being used. It’s really helped us simplify our SaaS stack and save a lot of time and money.” # Page Title Lunchbox Discovers 4X More SaaS Apps, Saves $430K in Licenses | Torii ## Page URL https://www.toriihq.com/case-studies/lunchbox ## Page Description Manage all your SaaS apps. In one single place. Torii makes it easy for IT pros to discover, optimize, and control their organization’s SaaS usage and costs. ## Details ### Lunchbox Discovers 4X More SaaS Apps, Saves $430K in Licenses #### Customer Profile Lunchbox is the go-to online ordering and guest engagement system for more than 5,000+ industry leading restaurants, including Firehouse Subs, Papa Ginos, Bareburger, and more. The company employs over 150 people worldwide. Like many businesses, Lunchbox operates with a lean IT team that has wide-ranging responsibilities, including overseeing the company’s entire SaaS ecosystem and lifecycle. Before using Torii, Lunchbox manually tracked and managed SaaS adoption and costs in a spreadsheet. This was a painstaking and error-prone process. The spreadsheet wasn’t agile enough to keep up with their rapidly-changing SaaS ecosystem. Without an up-to-date source of truth for SaaS management, Lunchbox struggled with: In short, Lunchbox couldn’t trust their data. They lacked a holistic view of their SaaS stack and associated users, usage and costs. As a result, they weren’t able to manage SaaS spend and Shadow IT risks. Gian Luca D’Intino-Conte, Director of IT at Lunchbox, describes the challenges of the manual process he encountered when he joined the company: “We needed to get SaaS management under control. We had a spreadsheet managed by too many hands and the information was incomplete and unreliable. I knew it would take me forever to rebuild it from scratch, let alone find the information I needed. Plus, any spreadsheet would be out of date almost as soon as it was created.” Lunchbox needed an easy, accurate and real-time way to track and manage their SaaS apps. #### Why Lunchbox Chose Torii D’Intino-Conte said, “Shortly after joining Lunchbox, I told our CTO that in order to centralize our SaaS data I’d need a tool. I was pointed to vendor and spend management apps that Lunchbox already had, but after evaluating them it was clear they wouldn’t suffice. After showing where they were lacking and how Torii compared, it took no time at all to get approval for Torii.” Having used Torii’s SaaS Management Platform at two of his previous employers, D’Intino-Conte knew it would solve Lunchbox’s challenges and ultimately create an efficient, reliable, and scalable way to manage both user and application lifecycles. “Before, our SaaS management was like the wild west. I knew that once I plugged in Torii I would immediately start getting the info I needed. Instead of sorting through the weeds myself, Torii would reveal exactly what our SaaS landscape looked like,” said D’Intino-Conte. Lunchbox’s decision was validated shortly after implementing Torii, when they would quickly: Torii has become the single source of truth for Lunchbox’s SaaS management. Not only does Torii reveal its true SaaS portfolio, but it also helps optimize and secure it by eliminating wasted spend, automating operations, and allowing Lunchbox’s lean IT crew to do more with less. “Anywhere I go, any job I take, they’re likely going to hear me say ‘I need Torii’ because it’s part of my core observability and SaaS management practices. It would be challenging for me to work as efficiently without Torii,” said D’Intino-Conte. #### How Torii Helps ##### Shining a light on Shadow IT One of Lunchbox’s immediate goals was to discover their true SaaS portfolio and costs. While D’Intino-Conte had guessed that multiple apps had escaped Lunchbox’s spreadsheet, he ultimately was shocked to see just how many Torii revealed: “On day one, Torii discovered 300% more apps than we tracked in our spreadsheet. We had a list of 100. Torii discovered just under 400, and that was before we implemented Torii’s browser extension. Now, with the browser extension, we discover new apps as soon as they’re used.” D’Intino-Conte was immediately able to empower Finance with a complete and always up-to-date view of all SaaS costs, including once-hidden expenses. He said: “When we launched Torii, I discovered several paid apps that weren’t included on the spreadsheet. I was able to show value to Finance right away with these insights. Now, anytime someone asks what apps we have, who’s using them, and how much we’re paying I can answer or show them in Torii without any effort. If finance sees a new charge in the accounting system and doesn’t know what it’s for, they can find out more information by looking in Torii. Having this peace of mind is very valuable.” Torii was also very valuable when Lunchbox underwent two acquisitions in rapid succession. It uncovered all the apps the acquired companies had and identified redundant ones so that Lunchbox could rationalize their portfolio and their costs. Torii’s advanced discovery has also helped D’Intino-Conte to secure Lunchbox’s sensitive data by automating offboarding and security protocols across their SaaS stack, including unsanctioned apps. At past companies, D’Intino-Conte also used Torii’s deep discovery to gain SOC 2 compliance by easily providing auditors with a full list of SaaS apps, users, and statuses. “Torii helped us cover our SOC 2 Compliance bases. Our auditors were impressed because Torii not only showed if we had reviewed an app, but when that review happened.” ##### Optimizing SaaS spend Lunchbox gained full visibility into SaaS expenses and can immediately act on cost-saving insights and recommendations. Torii’s advanced data engine automatically combines contract, expense, usage, and license data from across Lunchboxes’ SaaS apps to reveal cost-savings opportunities. Now, D’Intino-Conte can reclaim unused and past user licenses, downgrade underutilized ones, and eliminate redundant tech with a click of a button. He said: “We saved $430K in the first 9 months of using Torii by shutting down SaaS apps we weren’t using anymore and reclaiming licenses based on user inactivity or status.” These cost-saving insights also give Lunchbox the upper hand in renewal negotiations. A unified view of SaaS spend and usage empowers D’Intino-Conte to rationalize Lunchbox’s techstack by eliminating apps with little to no adoption, consolidating redundant apps, and rightsizing bloated contracts by lowering license count. Plus, Torii’s dynamic contract renewal calendar alerts D’Intino-Conte of upcoming negotiations, giving him ample time to prepare. It also helps him budget his time accordingly, which is incredibly valuable for stretched IT teams. D’Intino-Conte explained, “Torii helps me manage my time better. The renewals calendar shows me that this coming August will be a busy month for me and our vendors. I won’t plan a big project that month because a lot of my time will be spent managing and right-sizing contracts.” ##### Automating SaaS operations With so much on his plate, D’Intino-Conte needs to streamline SaaS operations as much as possible. He said, “In my role, I’m often a department of one or two. So, I value automation, continuous discovery, and the simplification of SaaS tasks. Torii serves as the additional headcount I need by automating tasks that were taking so much time but needed to get done. Torii’s the only SaaS Management Platform that can give you everything without having to spend hours and hours doing it—it’s plug and play.” Before Torii, D’Intino-Conte had to manually offboard each user from every app they were associated with on IT’s spreadsheet. Not only was this process time-consuming, but Lunchbox’s inability to discover Shadow IT apps meant past employees were only offboarded from known, or sanctioned applications, and could possibly access the company’s sensitive data through other sources. Now, with Torii, D’Intino-Conte has automated the deprovisioning process across Lunchbox’s entire SaaS stack, including Shadow IT apps. “With Torii, I’ve saved over 40 hours – a whole work-week’s worth of time—just in offboarding tasks. Plus, we’re now able to offboard people from apps we wouldn’t even have known about without Torii.” ##### Enhancing employee experience Using Torii’s app catalog, Lunchbox employees can quickly find and request access to the tools they need. Not only does this minimize Shadow IT purchases, but it also improves employee experience by shortening users’ time to application access. According to D’Intino-Conte, “People love Torii’s app catalog. Today someone from marketing asked if we have a tool to generate QR codes. I sent her to the catalog and she found it. It gives employees a first-stop marketplace to go shopping rather than immediately going to a Google marketplace.” Additionally, by analyzing app requests by department, D’Intino-Conte can determine whether to automatically grant a team access to a given application. He explained, “When I see an app requested by 2 or more people on the same team, it makes me wonder whether it is needed by the entire team. If so, I’ll have it automatically provisioned to anyone who joins that team, instead of them having to request it.” In addition to offboarding past employees, Torii insights have spurred Lunchbox to create security protocols to protect the company’s sensitive data. One such policy is alerting IT of suspicious login attempts based on employee location. If an employee’s country of residence, as noted in BambooHR, doesn’t match the location from which Torii shows they’re attempting to sign into an application, D’Intino-Conte’s custom workflow triggers additional authentication steps for the user to complete before gaining access. “Before, our SaaS management was like the wild west. I knew that once I plugged in Torii I would immediately start getting the info I needed. Instead of sorting through the weeds myself, Torii would reveal exactly what our SaaS landscape looked like.” Use Cases: Application Discovery & Visibility, Access Management, Offboarding, Spend Optimization, Risk Reduction “Torii discovered 300% more apps than we knew about. We had a list of 100 in our spreadsheet. Torii discovered just under 400. I knew there would be a delta between what we had and what Torii found, but I was surprised it was so large.” Favorite Torii Features: Discovery and Browser Extension “Anywhere I go, any job I take, they’re likely going to hear me say ‘I need Torii’ because it’s part of my core observability and SaaS management practices. It would be challenging for me to work as efficiently without Torii.” # Page Title Omnipresent Saves IT Time, Improves Compliance and Eliminates Wasteful Spend | Torii ## Page URL https://www.toriihq.com/case-studies/omnipresent ## Page Description Manage all your SaaS apps. In one single place. Torii makes it easy for IT pros to discover, optimize, and control their organization’s SaaS usage and costs. ## Details ### Omnipresent Saves IT Time, Improves Compliance and Eliminates Wasteful Spend #### Customer Profile Omnipresent helps businesses onboard new hires, retain, and offboard employees, no matter where they’re located. Companies use Omnipresent’s intelligent automation platform and expert support to generate compliant employment contracts, process international payrolls, manage localized benefits and more, freeing HR teams to focus on attracting and developing the best people. Businesses rely on Omnipresent to enable a great employee experience for onboarding, payroll and benefits, while also saving their HR teams time and money. But, when it came to Omnipresent’s internal processes for ensuring their own employees were quickly and cost-effectively onboarded and offboarded, one critical area created challenges: cloud applications. SaaS management was largely manual and, as a result, error-prone and time-consuming. To onboard a new hire, Omnipresent’s IT team had to go into each required application one by one, create the user, paste their email address, and provide the right level of access. When Dimitri Isaev joined Omnipresent as Service Desk Technician, the company was hiring 5-7 people every week, requiring IT to devote about two hours for onboarding. “We were growing fast. By the end of the year we would hire about 250 employees. Manual onboarding wouldn’t be sustainable,” he said. To offboard, the HR team created a Jira ticket a few days before the employee end date, if known, after which IT went into each app to remove access. But sometimes tickets weren’t created. IT might only find out someone needed to be offboarded after the InfoSecurity analyst discovered it later during their own security checks. This could put data at risk if former employees still had access, and also impact Omnipresent’s compliance with SOC 2 certification. Omnipresent had no reliable way to discover cloud apps, including those acquired without IT’s knowledge. Not only did this make it difficult to ensure people were fully offboarded, but it also made it impossible to get a full picture of the company’s SaaS ecosystem. “We knew Shadow IT was likely proliferating, and with that, our spend and security risks might be, too. SaaS Management Platforms (SMPs) were emerging as a best practice tool for discovery, automation, and cost management, so we began exploring SMP options,” said Isaev. #### Why Omnipresent Chose Torii Omnipresent evaluated several SMPs before choosing Torii. According to Isaev, “Torii had the broad range of features we needed at a good price point. Others were too expensive, and didn’t have enough capabilities. For a mid-sized company like ours, Torii was the best fit.” Isaev pointed to Torii’s strong visibility, onboarding/offboarding automation, and self-service features such as its App Catalog and role-based access management. Omnipresent was also impressed with Torii’s finance, expense, and license usage capabilities. “Torii is a one-stop shop. And its user-friendly interface and clean, easy-to-understand dashboards were a big plus,” said Isaev. #### How Torii Helps ##### Visibility + Security = Compliance Torii’s value was apparent from the beginning. “We quickly discovered 400 cloud applications. This was quite a surprise as I was expecting 100 to 150,” said Isaev. Not only that, but Omnipresent now discovers about 4-5 newly acquired apps every week with Torii. Omnipresent used Torii’s workflow building blocks to create a new app discovery workflow. “I couldn’t believe how easy it was to automate without any code, using Torii’s pre-set templates,” said Isaev. Now, each time Torii detects a new application, it immediately sends Slack alerts to IT and Infosecurity. Omnipresent’s security analyst then notes the app as being in “Review” in Torii, contacts the app vendor regarding security certificates, and decides whether to allow its usage. If not allowed, the analyst marks the app “closed” in Torii, which signifies that it cannot be used. Isaev noted, “Security proactively uses Torii to detect new apps and see if they meet our security standards. They have much better visibility into app usage and can restrict undesired applications. With Torii’s help, we’re able to simplify SaaS compliance assessment and achieve SOC 2 certification.“ ##### Single Source of SaaS Truth Torii’s distributed SMP approach fits Omnipresent’s decentralized SaaS management reality, and makes it much easier for all stakeholders to collaborate. In addition to Omnipresent’s IT and security employees, the company’s finance and leadership teams and app owners, also benefit from the solution and its rich role-based access capabilities. “Torii is a unifying platform for all our departments – a single place for reliable information about apps, contracts, users, usage, app owners, and financial data. It enables me to equip all stakeholders with the information they need to do their jobs,” said Isaev. For instance, when management wants spend information, Isaev simply points them to a Torii dashboard that has all the data they need. Isaev also noted, “Our departments are largely responsible for managing their own apps. Torii’s App Owner role is perfect for this. I can assign each owner access to only their apps, where they can see users, upload contracts, and view and manage licenses and access. Owners also receive automated notifications 90, 60 and 30 days prior to contract renewals so they have time to review usage and determine whether to renew and if so, at what level.” ##### Self-service Access & License Provisioning Employees use Torii’s App Catalog to find and request licenses for sanctioned applications. Before, they would ask IT for access to existing apps – but most were owned outside of IT. Figuring out who owned them took time and delayed app provisioning. “Torii’s App Catalog gives everyone a clear, streamlined and fast way to request app access,” said Isaev. “Torii’s tagging feature is also super helpful as it suggests similar apps if someone searches for an app that isn’t in the catalog. This way they can evaluate existing apps before deciding whether to purchase a new one.” ##### Automated Onboarding & Offboarding By integrating Omnipresent’s HR system, HiBob, with Torii and using workflows to automate many manual onboarding and offboarding tasks, Omnipresent speeds and simplifies these business-critical processes. Not only did Omnipresent reduce onboarding time by 80% and offboarding by 60%, but according to Isaev, “I’m quite confident that no one falls through the cracks. Torii discovers new hires and gives them access to applications according to their role. And when people leave the company, Torii immediately triggers workflows to suspend and remove user access to applications.” ##### Improves Spend Management Omnipresent is beginning to take advantage of Torii’s spend management capabilities, which are particularly important during these economically volatile times when reducing costs is top-of-mind for so many businesses. They’re using Torii’s Chargeback functionality to understand costs by department for apps such as Notion. They also review unused licenses for reharvesting and adjusting contracts. “Torii makes it easy to visualize our spend data. It’s very precise,” said Isaev. He estimates that Omnipresent has already saved about 15% on Microsoft 365 licenses and tens of thousands of euros on Zoom. “Torii is very versatile and easy to use. It’s great for spend visibility and management, discovering and de-risking Shadow IT, and creating no-code workflows. Plus, with Torii, everyone has the same, reliable source of SaaS truth.” Use Cases: Application Discovery, Onboarding, Offboarding, Spend Management SaaS Surprise: “How easy it is to automate processes without ever having to code.” Favorite Torii Features: Workflows “Torii’s workflows are great. They allow me to automate my daily tasks and save a lot of time, not to mention helping me have a better work/life balance.” # Page Title How Torii helped Paxful save over $715,000 in SaaS licenses | Torii ## Page URL https://www.toriihq.com/case-studies/paxful ## Page Description Manage all your SaaS apps. In one single place. Torii lets IT professionals discover, optimize, and control their organization’s SaaS usage and costs. ## Details ### How Torii helped Paxful save over $715,000 in SaaS licenses #### Customer Profile Paxful is changing the world of finance one Bitcoin at a time. Established in 2015, this growing business powers a peer-to-peer Bitcoin platform with over 10 million users around the world. Like most businesses, Paxful relies on SaaS applications to support operations, employee efficiency, and the development of the company. As the company grew, so did its suite of applications. This helped drive the company forward but also opened the door for concerns posed by unmanaged SaaS sprawl, such as Shadow IT and hidden costs.. To tamp down those issues, Paxful’s IT team recognized that they first needed to gain visibility into its full SaaS stack and accurate usage data, which was easier said than done. Historically, Paxful had relied on manual processes like spreadsheets and a ticketing system to keep track of applications used by Paxful employees and outsourced workers. But this was unreliable and inaccurate. According to Viknesh Thananjeyan, IT Operations Manager at Paxful, “We knew employees were adopting applications without IT’s full involvement, but we had no way of understanding which ones, why, how often, and at what cost. From a compliance perspective, it was essential for us to uncover all Shadow IT and put controls in place to protect our data and systems.” Decentralized and unsanctioned application adoption also created siloed information and operations across departments. It was nearly impossible to connect the data dots necessary for IT to make optimization decisions. They needed to break down those siloes and create an actionable single source of truth (SSOT) for all things SaaS. Paxful’s mission is based around financial freedom and literacy. As the company itself grew, they needed to set a higher bar with internal applications. “It was incredibly difficult to get a handle on SaaS spending and vendor contract negotiations because the data and information we needed was scattered across disparate sources. Often we didn’t know when renewals were happening. We sometimes ended up having overlapping applications because we were unable to view and compare them with our known applications, their costs, and any redundancies that existed,” said Thananjeyan. To control SaaS spending, tamp down Shadow IT, build secure adoption processes, and break down data silos, Paxful put their trust in Torii. #### Why Paxful Chose Torii As Paxful began evaluating SaaS Management Platforms (SMPs), it had several requirements on its wishlist that perfectly matched Torii’s offering. As Lead Support Engineer at Paxful, John Mark Cagalawan’s key responsibilities are focused around application licensing, access management, compliance and governance policies, and vendor contract management. He was eager to secure a SMP that would reveal the full spectrum of Paxful’s SaaS stack. “Compared to other SMPs, Torii has the best options for discovering and managing Shadow IT. The platform has hundreds of direct integrations with apps and systems we already use to manage operations, so discovery goes deeper than other SMPs. Plus, the Torii browser extension detects both sanctioned and unsanctioned applications, usage, and spend data in real-time, so we can keep an up-to-date record of all those apps in one place,” said Cagalawan. In addition to supporting discovery, those hundreds of integrations feed data into the Torii Dashboard, so they can generate actionable reports. “Other SMPs gave us nice charts and graphs, but stopped short of giving us the depth we needed because they didn’t have the right integrations. Torii’s integrations really make the difference,” said Thananjeyan. Torii’s spend and contract management capabilities were what really sealed the deal for Paxful. “When you have a clear, full picture in front of you, it’s easier to spot opportunities for cost optimization. Torii integrates with our accounting software QuickBooks, so we can cut through to the fine details that help us recoup SaaS costs, remove redundant applications, and better prepare for negotiations with vendors,” said Thananjeyan. Before Torii, contract renewals often snuck up on Paxful. This resulted in either surprise expenses or a mad scramble to decide whether an app would stay or go. “We kept getting requests to renew applications without really knowing why, how, and how frequently these apps were being used.,” said Thananjeyan. “However, once we started to implement greater cost controls, we had to be more intentional about application investments and vendor negotiations.” This made Torii’s Dynamic Renewal Calendar and automated workflows another compelling capability for Paxful’s team. Beyond the platform capabilities, Torii’s team and their eagerness to support Paxful were additional selling points. “Torii really heard us and understood our challenges, and was even ready to tweak some functions according to our specific needs,” said Thananjeyan. #### How Torii Helps ##### Spend management delivers savings galore Paxful was able to save over $715,000 before their two-year mark of using Torii. “Torii has been instrumental in helping us regain control of SaaS spending and cut tremendous costs—something we weren’t able to before,” said Cagalawan. “Now, we have contract costs, renewals dates, and contact information for all our account managers and application owners centralized in Torii. This has made all of our spend management processes much more efficient and effective. We have a clear view of every application we have, where there are redundancies, and opportunities to cut back.” Cagalawan created several workflows to assist in this area as well. “When a contract renewal is 60 days away, Torii sends automated alerts to IT. This gives us time to work together to look into spend and usage data, and determine if application licenses need to be renewed, closed, or pulled back,” he said. Similarly, a Torii workflow detects inactive licenses and reclaims them. Instead of truing up and purchasing additional licenses, Paxful can reharvest these licenses for future requests – and, if they’re not needed, can accurately downsize the number of licenses come renewal time. “Getting ahead of renewal deadlines has been incredibly helpful. Now, we have more time to pinpoint data we want to bring to vendor negotiations, or even find an alternative to existing applications. Sometimes we’ve even been offered discounts because of how prepared we were,” said Thananjeyan. ##### Automated Shadow IT discovery controls SaaS sprawl chaos Before using Torii, Paxful’s IT team knew employees were adopting their own apps, but not to what extent. “We suspected there were 200 applications in our systems, but when we deployed Torii, we discovered nearly 500 applications,” said Cagalawan. “With this newfound visibility, we were able to talk to the owners, evaluate how and why an app was being used. Then, we aligned with department heads to decide if an app should be standardized and sanctioned, eliminate redundancies and non-compliance, and build a library of our core apps.” Torii’s Shadow IT discovery isn’t a one and done thing. Dynamic real-time endpoint detection keeps discovery rolling so Paxful stays on top of unsanctioned apps. Cagalawan created a workflow so that any time a new Shadow IT app pops up, he’s alerted. Then, he can point the owner toward a similar, sanctioned vendor. Or, if the app is in a new category, he’ll work with the Information Security team and department heads to determine next steps. ##### Data and documentation provides clarity around compliance and finance Needless to say, compliance is a top priority for Paxful’s InfoSec team, so they continually do audits to ensure the standard remains high. With Torii’s app documentation fields, IT records each application’s General Data Protection Regulation (GDPR) or California Consumer Privacy Act (CCPA) statuses. Then, they can generate Torii reports that include that information and pass them along when the InfoSec team is hot on the audit trail. Paxful’s finance team even has their own Torii credentials, so they can do their own recon into contract agreements, spending data, and other financial figures. “We used to find ourselves in situations where IT was out of sync with finance, because information was siloed. For example, if an employee requested reimbursement for an unsanctioned application license directly from finance, my team was unaware because it’s not an app in our inventory,” said Thananjeyan. Torii bridges the gap and breaks down silos for more collaborative, comprehensive SaaS spend management. As Paxful helps its users build a better financial future, Torii is committed to helping them do the same with SaaS management. Check out more customer stories here. “It’s very easy to understand data and take action in Torii. We see which apps are being used, when new ones are added, the cost breakdown for each, and all the small but important details—this builds the bigger, deeper picture needed to lower costs and improve compliance.” Use Cases: Application Discovery & Catalog, Spend Management, Automated Workflows SaaS Surprise: “We suspected we had 200 applications existing in our systems, but when we deployed Torii, we discovered nearly 500 applications.” Favorite Torii Feature: Spend & Contract Management # Page Title Payoneer gains clarity over SaaS apps used by 2,000+ staff with Torii | Torii ## Page URL https://www.toriihq.com/case-studies/payoneer ## Page Description Manage all your SaaS apps. In today’s digital world, Payoneer’s platform streamlines global commerce for millions of businesses from 190 countries and territories, delivering a suite of services that includes cross-border payments, working capital, tax solutions, merchant services and risk management. The company has more than five million customers worldwide supported by 2,000+ staff across 24 offices. As a large organization, Payoneer needed a reliable solution for gaining control over the hundreds of SaaS applications used across its network. The company became one of the first adopters of a new category of SaaS Management tools having deployed Torii in 2016. Before Torii, Payoneer had a manual process in place to manage its SaaS applications, systems and software, exposing the company to potential errors and inefficiencies. As a continuously growing company – both organically and through acquisitions – Payoneer experienced increased software spend and tool redundancy. The company accumulated licenses and subscriptions for applications with overlapping functionality, driving up SaaS costs. For instance, Payoneer is a power user of Microsoft’s Office 365, which includes the collaboration solution, Microsoft Teams. Yet multiple teams across the company were also using Slack for communication and collaboration. Since the IT department and the lines of business share responsibility for control over applications within Payoneer, the company’s goal was to have a single place where its entire SaaS universe could be viewed and managed. By centralizing the management of all the applications, Payoneer aimed to reduce exposure to any potential security risks or compliance issues. “Torii became a big part of our security plan within Payoneer,” explains Ron Peres, Sr. Director, Global Corporate IT & Information Systems at Payoneer. “We want to have our data spread across as few systems as possible.” #### How Torii Helped Payoneer uses more than 800 applications across its business. With Torii, Payoneer has seen some major benefits: “With Torii, we could finally see every single SaaS tool we were using in the company. It enabled us to review their popularity and usage, determine which applications were redundant and which ones we could cut down.” # Page Title Pipedrive 600 apps surfaced on Day 1 | Torii ## Page URL https://www.toriihq.com/case-studies/pipedrive ## Page Description Manage all your SaaS apps. Torii lets IT professionals discover, optimize, and control their organization’s SaaS usage and costs. ## Details ### 600 apps surfaced on Day 1 #### Customer Profile Founded in 2010, Pipedrive works with 75,000+ different organizations in 170+ countries. The company offers CRM as-a-service, ensuring sales activities remain targeted, ambitious and realistic. With over $80 million in funding, Pipedrive is a rapidly growing company with 400+ employees located in 6 offices across 4 countries. Pipedrive is one of the fastest growing cloud-driven SaaS companies worldwide, but no matter how large Pipedrive becomes, 2 important values remain prioritized for their IT team: security and efficiency. ##### Security of company data With an ambition towards global engagement, Pipedrive is branching out their offices to numerous locations around the world (Estonia, New York City, London, and Lisbon). The diversity of their teams calls for different work strategies and varied access to certain applications. As a result, managing Pipedrive’s data security is becoming increasingly challenging every day. The main security challenges that Pipedrive’s IT faced were: Before Torii, their IT’s only choice was to use manual processes – gathering data from different departments with no corporate overview of which tools are used and what data is processed by them. #### How Torii Helped Employee Offboarding Up-to-Date Usage and Cost Analysis App Discovery The introduction of Torii shifted Pipedrive’s knowledge of tools being used within the company from being quite limited, to a well structured dataset of all tools in use, creating a more efficient usage and productive organization. ##### Employee offboarding When many SaaS tools are in use, the process of properly offboarding an employee is more crucial than before, as the implications of cost, compliance and security are harder to manage if you had no visibility of the SaaS tools the employee has been using. Offboarding is a time consuming process, especially when different applications have different business owners. When it isn’t done right, organizations end up paying much more than they have to by accidentally leaving accounts open. Not to mention the security implications of having accounts left opened for an employee who no longer works at your company. Before Torii, IT had to reach out to owners one by one in order to find out who is responsible for each application, and then make sure each account is actually closed -an error-prone and time consuming process. This was made possible thanks to offboarding features such as: Torii also helped surface the importance of proper offboarding to the relevant stakeholder. With the visibility of all SaaS tools, people can clearly see implication of offboarding from SaaS applications and are motivated to help. When Torii surfaced that there are more than 600 applications being used it was much easier for IT to start building the right process for SaaS management, as it is clear the business relies on those SaaS tools, and those must be managed. ##### Up-to-date usage and cost analysis It was important for Pipedrive IT, to start managing their SaaS tools, while keeping the organization moving at a fast pace. Pipedrive was aware that there were many tools they did not know about. However, Torii helped them explain the true scale of the challenge to the employees, in other words, providing a much easier way to communicate internally. Torii allowed Pipedrive to manage their internal tools without interfering with their employees’ daily work, maintaining their agility and staying in control and efficient. Other SaaS management tools seem like they combine existing knowledge and make it more visual. Torii, on the other hand, has clear benefits and value. For example, it is much easier for us now to maintain an up-to-date view of our tool portfolio, which helps to manage both costs and risks. As new SaaS tools are being introduced every day, either during evaluation period or as a paid tools, Torii quickly surfaces the usage of duplicate tools or ones used for a similar purpose. Pipedrive can get notified in real time and understand the advantages of certain tools over others, helping their employees to take the right decision about tools usage at early stage. If a new tool is introduced, we want to understand how it is unique… if a similar tool is already being used than we need to understand why are we using different tools for similar use cases. The discovery phase is not a one time effort, but rather a continuous process. Even if IT is not using the Torii app at the moment, they easily stay up-to-date with email notifications reporting what new apps were discovered. The email also directs you to the new application’s page in the Torii app, where you can see what the app is about, as well as its active users, usage trends, and expenses. Features like the browser extension made Torii stand out to Pipedrive as the only solution that can identify Shadow IT, as well as show the usage of new tools through their SSO solution. “Will there be a working day where there are no new tools discovered through Torii?” # Page Title Productboard saves 2,000 hours on SaaS management, onboards new hires without clicking even once | Torii ## Page URL https://www.toriihq.com/case-studies/productboard ## Page Description Manage all your SaaS apps. In one single place. Torii lets IT professionals discover, optimize, and control their organization’s SaaS usage and costs. ## Details ### Productboard saves 2,000 hours on SaaS management, onboards new hires without clicking even once #### Customer Profile Productboard’s mission is simple—help companies make products that matter and get the right ones to market faster. Over 6,000 companies use Productboard’s innovative product management platform to better understand what their users need, prioritize what to build next, and align everyone around their roadmap. As Productboard’s book of business grows, so does its workforce. With over 500 employees working around the world, and more joining every day, the company relies on SaaS applications to drive productivity, employee engagement, innovation, revenue, and more. When IT Ops & SaaS Ops Manager Jakub Sůva first joined Productboard, he quickly realized their SaaS ecosystem needed a fresh set of eyes. “I asked for a list of apps and users, and nobody really knew what we had, what apps we paid for, or who was managing them,” said Sůva. Like many organizations, Productboard worked under the assumption that most every newly acquired application was approved by IT, security, legal, and finance. Little did they know that many employees were adopting apps on their own and bringing Shadow IT into their network, and with it, risks to company data, productivity, and budgets. Those blindspots were one challenge, manual processes were another. Every aspect of Productboard’s SaaS management was manual, from maintaining a list of applications in a Google Sheet to onboarding and offboarding each employee. Provisioning new employees with the apps they needed took 1.5 hours per hire. The IT team had to manually go into each app to add new users one-by-one. When your workforce is growing by 100% year-over-year like Productboard’s, it was a major time suck for IT, and inevitably left room for human errors. On the flip side of the employee experience, offboarding meant IT was going into each application, one-by-one, manually revoking access from ex-employees. However, without full visibility into what applications those employees had been using, it was nearly impossible to fully lock the gate behind them. “With our growing number of apps and employees, SaaS management had become unbearable. I quickly realized we needed dedicated personnel and specialized tooling for SaaS management,” said Sůva. And thus, he created the SaaS Ops branch of the IT team and implemented Torii to tackle their challenges. #### Why Productboard Chose Torii Sůva had been responsible for SaaS management at an earlier job, so he knew exactly what Productboard needed: Reliability, accurate data, the ability to discover apps using multiple sources, expansive direct integrations, and easy-to-implement automated workflows. He led an in-depth review of more than half a dozen SaaS management vendors before selecting Torii. “Compared to Torii, other SaaS Management Platforms were incomplete, complicated, and not nearly as reliable. Torii has over 130 direct integrations, is easy to use, and delivered value from day one,” said Sůva. In fact, on their first day using Torii, Productboard connected about 20 direct integrations, instantly accessed a wealth of data, and found hundreds of apps. This ability to discover all applications, including unsanctioned ones, was a major draw for Productboard. Not only does Torii’s discovery solution reveal the Shadow IT blind spots but it also uncovers detailed information on users, usage, costs, redundant applications, and potential risks associated with them—all which data can be easily sliced and diced on multiple levels. Automated workflows were also mission critical for Productboard so that they could eliminate time-consuming, manual processes and give the IT team more time for high-value, strategic work. “Setting up workflows in Torii was incredibly easy, compared to other vendors. It’s a drag-and-drop, no-code solution, with many options for tailoring. You can create even the most complex ones in a few minutes, and have a whole stack of workflows running in no time,” said Sůva. #### How Torii Helps: Improvements across the (Product)board ##### Application management, access, and optimization made easy Right away, Torii revealed a large collection of Shadow IT apps in Productboard’s ecosystem. “No one expected Shadow IT to be so far reaching. We immediately found over 400 apps, compared to the 110 sanctioned apps that we were aware of,” said Sůva. Of course, this initial Shadow IT discovery wasn’t a one-and-done task, it’s ongoing. According to Suva, his team discovers between five and 10 new Shadow IT apps every month. “We immediately started performing validation with IT, security, finance and legal to make sure all apps are secured and compliant,” said Sůva. “We also built workflows so that if anyone registers an application through their company account, it automatically emails them a form to document who will own the account, who will use the app, and what the purpose is for using that app.” With improved visibility, insights, and documentation, Productboard used Torii’s Application Catalog to build a central place for employees to find every company-approved app and information about who owns it, who uses it, and what the purpose of the app is. If they want access, they can request it right there in one click. “The App Catalog has really improved transparency, optimization, plus employees are more engaged. People started giving us more feedback so we’re able to optimize, uncover more apps, and adjust outdated information in the Application Catalog,” said Sůva. “Our finance department is also excited about the capability for analyzing costs and looking for ways to optimize. They can easily see who the owner is and go to them directly to discuss.” ##### Time is money and Productboard’s IT team is saving big Torii’s automated workflows are also a huge win for Productboard’s IT team. “I’m really proud of the onboarding process now. We’ve reached a point where we’re able to onboard a new hire and give them complete access to what they’ll need without having to click a single button. This is huge,” said Sůva. “People Ops simply enters the new employee info into our HR system, which integrates with Torii, and the workflows we’ve set up take care of the rest.” Productboard also helps ensure former employees no longer have access to company applications by using Torii’s automated offboarding workflows. In addition to eliminating human errors, the automation implemented by Productboard are projected to save them approximately 2,000 total hours on SaaS management tasks per year. ##### True cost revealed and spending control recouped Before using Torii, Productboard didn’t have instant visibility into the costs associated with their SaaS applications. “Our finance team recently requested an analysis on what software we use, how much we pay, and if there is any room for optimization or money savings. With Torii, we had all the usage and financial data readily available, and were able to finish the entire cost analysis in just a few hours,” said Sůva. “Before Torii, I wouldn’t have had a clue where to begin, let alone be able to do an accurate analysis. Now we have a complete SaaS spend picture, workflows to cleanup accounts, and the ability to easily remove unused licenses, which saves us hundreds of dollars a month.” Torii empowers businesses like Productboard to get more out of their SaaS investments throughout the application lifecycle—and you can take that to the bank. Torii’s automated workflows are also a huge win for Productboard’s IT team. “I’m really proud of the onboarding process now. We’ve reached a point where we’re able to onboard a new hire and give them complete access to what they’ll need without having to click a single button. This is huge.” Use cases: Application Discovery & Visibility, Access Management, Onboarding & Offboarding, License Discovery & Optimization Favorite Torii Feature: Onboarding workflows “We reached a point where we are able to onboard a new hire without having to click once, which I’m really proud of. Instead of spending 1.5 hours on each new hire, we don’t have to do anything.” “Compared to Torii, other SaaS Management Platforms were incomplete, complicated, and not nearly as reliable. Following two major acquisitions, the Brazil-based content company now has staff all around the world. The acquisitions accelerated the growth of the company, and SaaS management became a key area of focus for Rock Content, from a cost and efficiency perspective. The company was particularly interested in solutions that would enable it to manage SaaS applications easily across its team of widely dispersed workers. Gaining visibility over SaaS applications, their usage, security features, and license costs was key. After growing rapidly and absorbing new teams and legacy apps into the company, Rock Content identified an urgent need to manage and integrate its SaaS applications. Being able to manage SaaS apps centrally became especially valuable in 2020 as Rock Content moved to a remote model due to the COVID-19 pandemic.João Dobbin is Manager of Business Enablement at Rock Content. He oversaw the integration of apps from the acquired companies. One of his first tasks was to bring Marketo and Salesforce into Rock Content’s HubSpot environment. João was also responsible for identifying cost overspend and potential efficiencies around SaaS.As well as needing to streamline the number and cost of apps across the Rock Content’s growing network, the company had to ensure it was compliant with the service organization sector audit, SOC 2. After the 2019 acquisition, we had 100+ new employees located around the world and a lot of SaaS applications to manage. Using Torii, we were able to streamline our SaaS applications over six months. Synergies were already on our roadmap but COVID-19 fired this up to being our top priority. Torii was core to us being able to centralize all information relating to our SaaS contracts and costs, and to getting everyone on the same page. By the time we’d implemented all the synergies, we’d managed to save over a million dollars. Rock Content discovered Torii when its leadership team researched SaaS management solutions online. Dobbin was also familiar with Torii having had a recommendation from a banking contact in his network. #### How Torii Helped Following an acquisition that Rock Content made in 2019, the company streamlined its SaaS applications ecosystem and saved over a million dollars with Torii.Rock Content found that Torii provided a complete platform user experience and offered the most comprehensive features of all the SaaS management solutions the company had researched. Features such as workflows, NetSuite integration, G Suite integration, app catalog, SOC 2 compliance all combined to simplify SaaS management for the content company. On Day 1, Torii discovered 700+ applications in the company’s SaaS ecosystem. Dobbin’s team also stumbled across software contracts listed on numerous siloed spreadsheets; the finance team had one, IT another and so on. It was clear to us that we could benefit a lot from the governance aspect that Torii offers, gaining a clear vision of apps in use, their contracts, costs, and so on. And, of course, following our move to remote working in 2020, we’ve experienced how easy it is to manage remote work programs and fix compliance gaps using Torii. Another benefit for Rock Content is Torii’s easy-to-use application catalog. Everybody can see which applications are available and approved, which has been a huge time saver for creative, and go-to-market teams, and the IT department alike. Torii became my bread and butter. We have visibility now over our app usage that we didn’t have before. Using Torii, the time it takes to onboard and offboard team members to and from applications has been cut dramatically. Torii has enabled the Rock Content team to automate staff onboarding and offboarding. Dobbin says that a task that previously could have taken up to half an hour, now takes virtually no time at all using Torii. This simplification has helped Rock Content to improve controls, which is really helping in its current SOC2 audit. As the company continues to expand, Torii will play an integral role in the company’s SaaS management and cost-efficacy into the future. “Because Torii operates in the background, our creative teams can focus on what they do best. The biggest difference from an IT management perspective is that I have complete visibility of the apps we use as a company. Ensuring that we are not overspending on SaaS, means we can retain a lean operation, which benefits our company and our customers.” Reduction in IT hours spent on offboarding SaaS apps discovered on day one “Torii was core to us being able to centralize all information relating to our SaaS contracts, costs and usage, and to getting everyone on the same page.” # Page Title sennder Cuts Onboarding Time by 70%, Eliminates Runaway SaaS Costs | Torii ## Page URL https://www.toriihq.com/case-studies/sennder ## Page Description Manage all your SaaS apps. In one single place. Torii lets IT professionals discover, optimize, and control their organization’s SaaS usage and costs. ## Details ### sennder Cuts Onboarding Time by 70%, Eliminates Runaway SaaS Costs #### Customer Profile sennder is Europe’s leading road freight logistics partner, with 1,000+ employees and more than a million completed shipments. Shippers access its connected fleet of over 40,000 trucks to move their goods. The company’s proprietary technology digitizes, automates, and simplifies road logistics, and brings a new level of transparency, flexibility, and reliability to the industry. sennder’s brand is synonymous with simplicity, transparency and reliability. That’s why shippers and carriers depend on them. But when it came to sennder’s internal SaaS management logistics, these benefits were difficult to achieve. Manual processes and blind spots made it hard to work efficiently and control SaaS spend. Their primary way of discovering the cloud applications in sennder’s ecosystem was through Google Workspace and single sign-on technology. But that didn’t catch everything. sennder’s IT and procurement teams had to spend countless hours digging, investigating any other new tools, whether they were using the licenses they had, and manually update the offboarded status of accounts individually. Painting a complete picture was virtually impossible. Onboarding new users was also time-consuming. The IT team had to devote two to four days every month to creating accounts, linking them to groups, sending welcome emails, and more. “SaaS can get out of control very quickly, with apps you don’t know about and unexpected spending,” said Joshua James, IT Operations Expert at sennder France. “It can be easy to miss applications, overlook accounts, and onboard employees who never use the tools you gave them. We needed to eliminate runway fees, save time and better manage our resources.” #### Why sennder Chose Torii As sennder’s Infrastructure and Integration domain owner, Joshua’s job is to help provide the IT team with the tools they need to get things done, and to institute workflows and processes that make everyone’s work lives easiest. sennder had tools for integrating cloud apps and automating certain workflows, as well as for managing app contracts. However, even taken together, they didn’t provide the breadth or depth of capabilities sennder needed. They also meant that sennder employees had to swivel between several tools to handle different aspects of SaaS management. According to Joshua, “Torii provides all the SaaS management capabilities we need in a comprehensive, one-stop-shop solution. It discovers all corporate SaaS apps with its browser technology, has strong integrations, and great workflows and automation that simplify processes and save us a lot of time. Torii also identifies cost saving opportunities and makes it easy to act on them.” Joshua noted that, with all the benefits sennder has already achieved, they’ve only begun to scratch the surface. For instance, they’re eager to employ Torii’s App Owner and Procurement roles to accelerate operations and cost savings. With Torii’s Distributed SaaS Management Platform, IT teams can provide app owners with real-time visibility into their app’s usage and license utilization and enable them to take action regarding users, licenses, and contracts. Procurement gets all the information they need about contracts coming up for renewal, usage trends and costs, right at their fingertips, so they can better negotiate with vendors and eliminate wasted spend. “Before Torii, we spent a lot of time on SaaS management tasks. Torii frees our IT team to focus on other strategic projects.” said Joshua. #### How Torii Helps ##### Discovers the unexpected Using Torii’s browser extension for Chrome – and soon, Torii’s extension for Microsoft Edge – sennder gains insights not only into the apps people are using that IT didn’t know about, but also where corporate data is found and stored. This ability to discover all the apps people use for work in real-time has been invaluable. “What surprises me most is the incredibly large quantity of apps that employees log into randomly,” said Joshua. “Having this information always accessible provides the foundation we need to effectively manage, integrate and control what apps we have and how much we spend on them.” ##### Reduces onboarding time by 70% sennder takes advantage of Torii workflows and integrations with apps such as BambooHR, Google Workspace and Jira to speed and simplify onboarding. “We don’t have to mentally prepare for the many onboarding tasks because Torii automates them. There’s no need to dedicate days every month just to onboarding. We can be much more spontaneous,” said Joshua. He explained, “We easily save 70% of our time because we no longer have to do manual onboarding. We don’t have to add people to Google groups or Slack channels when creating an account. We don’t have to go into Jira to onboard a user and then copy and paste from the ticket, since we can open a Jira ticket directly from within Torii. We no longer have to go into Bamboo to get updated job titles since Torii brings them in automatically.” ##### Offboarding happens like magic Offboarding is much easier and isn’t in danger of falling through the cracks. Joshua said, “We can react to employment contracts ending, even when they happen suddenly, because Torii offboards the users for us. Although our team set up the workflows for offboarding, it still feels like magic!” He added, “We can’t always trust our HR system’s manually-dependent data, but we trust Torii’s connected decisions.” Torii automatically reads contract end dates and active status, suspends user access, and emails IT to notify the team about the offboarding. sennder also uses what Joshua calls “Torii’s clever tricks” such as its Salesforce workflow that suspends users if they’re inactive for a specified period of time, then prompting the user if they want to continue using the service. ##### Illuminates and reduces SaaS spend sennder uses a range of Torii’s ROI optimization features to get an accurate picture of their SaaS spend and take steps to minimize it, while still providing employees the tools they need to succeed. As an added bonus, according to Joshua, “Every action we take is auditable so we can prove what we’ve done, step by step.” IT, procurement, and finance teams benefit from Torii’s integration with NetSuite to gain full visibility into SaaS spend. In addition, Torii’s chargeback feature breaks down SaaS license costs by departments and regions, making it easy for sennder to allocate expenses back to individual entities. The chargeback feature saves tens of hours every month, avoiding manually accessing, and cross-referencing users and applications with their respective offices. To reduce costs, they use license management workflows that determine when an employee last used an app, trigger warnings if they haven’t used it for a specified period of time, and remove their license if the user ignores the warning. Torii’s new recommendations engine helps sennder save money on apps such as Zoom, Asana, and Miro by suggesting actions they can take to reduce costs. For instance, sennder saved €30,000 by eliminating unused Zoom One Business licenses and downgrading users to the free Zoom Basic license when Torii revealed who wasn’t using Pro license features such as 40+ minute video conferences. Torii also highlights apps in sennder’s ecosystem that have overlapping or fully redundant functionality, comparing their usage trends and costs. “Torii is great for figuring out what apps people are using and identifying if there are better, cheaper alternatives,” said Joshua. “Torii gives us a central source of truth for all things SaaS, and control over our apps and expenses. I fully recommend Torii for its great SaaS detection, time-saving workflows, and comprehensive license cost-savings.” Use Cases: Application Discovery, Onboarding & Offboarding, Spend Management SaaS Surprise: “When you dig into all the apps you didn’t know about, the people who weren’t offboarded, and the licenses that aren’t being used, the scale of unexpected SaaS spend can be quite large.” Favorite Torii Features: Workflows, Cost Savings Insights & Actions # Page Title How Smallpdf’s lean IT team used Torii to save time and reduce risk | Torii ## Page URL https://www.toriihq.com/case-studies/smallpdf ## Page Description Manage all your SaaS apps. They wanted to ensure their employees were free to use their preferred technology to perform their jobs more efficiently and contribute to the company’s success. But they didn’t want strict IT Governance slowing them down. “We believe in the innovation of every team member and want them to have the ability to explore. We don’t want to limit employee freedom. But, at the same time, we need to have visibility into what cloud applications they’re using as well as some control to ensure security and help us meet requirements for GDPR and ISO audits,” said Max Erb, Smallpdf’s IT Operations Specialist. With that in mind, their lean IT team used a Google sheet to track applications, users, and subscription data. Unfortunately, this method lacked scalability and took several hours a week to maintain. It required IT to ask finance which tools had been recently expensed. They also had to track down every application owner, often via Slack, to gather information. Preparing for compliance audits was also time-consuming because of missing or incorrect information that needed to be rectified. “The spreadsheet worked until the company was about 50 people. As our number of tools and employees increased, it became cumbersome, error-prone, and virtually impossible to keep up with. We suspected that many applications were missing or not properly documented, and we had very little information about actual application usage,” said Erb. With employee count reaching over 100 and expected employee growth of 1.5-2x year over year, continuing with manual methods wasn’t realistic. Further, onboarding and offboarding employees from apps were taking too long and had gaps. Smallpdf needed a better way. They wanted a SaaS Management Platform (SMP) that would help IT reclaim their time, improve the company’s application data accuracy, simplify auditing, and ensure permissive IT policies didn’t lead to risk. #### Why Smallpdf Chose Torii Smallpdf conducted an extensive Proof of Concept (POC) with four SMP vendors and found that only Torii met (and exceeded) expectations. Erb mentioned how Torii was ahead of the pack in what they let Smallpdf accomplish. IT can now do more, better, and at scale. “During the evaluation process, we were happy to learn how Torii could help us save on license costs, simplify so much with automation, easily discover Shadow IT, and more.” Smallpdf leveraged Torii’s real-time discovery to find unsanctioned applications that were impossible to find before. “We thought we had around 150 applications. After turning on Torii, we found the number was closer to 450. It was eye-opening,” Erb said. Many of those applications were hidden in the shadows, without IT and finance being made aware. Smallpdf was blind to them before Torii. Now they can identify them on user endpoints in real-time. According to Erb, “Torii’s approach to discovery, particularly with their browser extension, was the most compelling. It is seamless and comprehensive. It’s also non-invasive and doesn’t gather information on employees’ private browsing. This was key for our employees’ privacy.” #### How Torii Helps Smallpdf ##### Greater Clarity for Compliance, Reduced Risk Smallpdf easily uncovers all applications, including Shadow IT. Now they have a centralized source of visibility and truth, with all SaaS application information in one easy-to-access place. This helped Smallpdf galvanize and streamline their compliance efforts. Not only are they confident in their data, but they can also efficiently see and report on the information needed to meet GDPR requirements and accomplish ISO audits. Today, if a customer asks Smallpdf to delete their data, IT can confirm it’s gone. Customer data is no longer stranded on applications outside of IT’s purview. Smallpdf has also enhanced its risk management. “Torii even showed us a case of an employee accidentally sharing their whole inbox with an app. The person didn’t realize people could potentially read all their emails. Thanks to Torii, we were able to catch it before it became a problem,” said Erb. ##### Enterprise Features, Without Enterprise Size The IT team at Smallpdf is small but mighty. By choosing Torii as their SaaS Management Platform, they can accomplish even more with less effort. “Torii is quite impressive. It gives you enterprise features without having to have an enterprise-sized team,” said Erb. “We were surprised with all the capabilities at our disposal and the level of automation we could deploy, all without having to write a line of code.” Smallpdf’s tool owners are happy with the Torii App Catalog’s access provisioning experience. Anyone in the company can request a license from a centralized, curated list of approved applications. Application owners are instantly notified and can take quick action, so people get the applications they need right away without anything falling through the cracks. This saves cross-functional teammates time and frustration. The company has no plans of slowing down. They plan to leverage more workflow automation to further streamline onboarding and offboarding. ##### Cost Savings Without Looking For Them While cutting SaaS spend wasn’t an initial goal, Erb found that Torii still helped Smallpdf reduce waste. It streamlined collaboration with finance and found cost savings hiding in plain sight. He mentioned how this “paid for the cost of Torii.” Before, Erb’s team had minimal knowledge of application usage. Now, they leverage Torii to compare application usage and optimize licenses. This also led to stakeholders becoming more observant of investments in licenses and tier levels. “Before Torii, we were spending significant amounts on unused apps we didn’t even know we had. Other apps were being underutilized. Those wasted licenses cost us tens of thousands of dollars. We were able to quickly identify wasted costs and begin offboarding them in favor of applications within our App Catalog.” Use Cases: Application Discovery & Visibility, Compliance, & Data Transparency Discovered 3x more apps Cut SaaS costs without even trying Streamlined compliance Enabled continued exploration and innovation while reducing risk “When I connected to Torii, we saw we had 450 apps – 300 more than we expected!” Favorite Torii Feature: Torii Browser Extension “Torii’s browser extension works very effectively yet remains light and non-invasive. It finds all apps on employee endpoints while protecting their private browsing activities.” “Torii gives our small IT team the ability to get more SaaS management done, better. It provides enterprise-level functionality without enterprise-level work.” # Page Title Dashboards are Dead | Torii ## Page URL https://www.toriihq.com/dashboards-are-dead ## Page Description ## Details ### Dashboards are Dead Too many of today’s dashboards add friction, not clarity. Learn about the state of data today and where data vizualization is going next. #### The Dashboard Dillusion 84% of frontline workers label their dashboard experiences as poor or inaccessible. The promise of instant clarity has become a placebo; users log in expecting answers but walk away still searching. Despite years of investment, data clarity seems no closer for most organizations. source #### The Adoption Abyss Fewer than 20% of executives believe they’ve built a genuine data culture. When the tools meant to empower people end up excluding them, digital transformation grinds to a halt. Organizational buy-in collapses under the weight of interfaces that demand expertise instead of delivering answers. source, source #### Data Islands: Isolated & Fractured Businesses bleed $3.1 trillion each year to disconnected data islands, where information sits trapped inside departmental walls. 83% of enterprises report siloed departments, and 97% say this fragmentation chokes productivity. When finance, IT, and operations can’t share a single source of truth, every dashboard only tells half the truth. source, source #### Cold Comfort: Why Dashboards Fail Beneath the sheen of vibrant charts, most dashboards end up feeling like fancy spreadsheets with frozen capabilities: Rigid filters and slow refresh cycles render potential decision engines ineffective, turning them into digital wallpaper. source #### Frustration & Waste Tech fatigue is real: Time is the ultimate currency—dashboards are draining budgets and morale in equal measure. source, source ### Moving Beyond Dashboards #### Data Interaction Reality Check: Dashboards Still Matter—But They’re Not the Future. Dashboards are useful for power users. But they won’t fix scattered data or acting on those insights. The future isn’t about easier dashboards, it’s about not relying on them. Instead, it’s time to interact with your data directly. Smart insights anyone can access right when they need them. #### Language is Power For too long, dashboards have been bottlenecks—powerful but out of reach for most. Now, AI is rewriting the rules. LLMs give everyone access to an on-demand data analyst, letting you ask questions in plain language and get instant, precise, context-aware answers. No more wrestling with filters or charts. Just clarity. This wave of AI demands we rethink our tools and processes. It’s not about tweaking dashboards; it’s about removing barriers so that every team, from finance to IT, shares a single source of truth and moves faster, together. What begins as a promising SaaS investment can turn into a time-consuming, complex endeavor. “Seamless integrations” start to fray, the ”instant setup” never really ends, and the “user-friendly” environment becomes a labyrinth. Today, we’re witnessing a similar hype cycle with AI (and deservedly so). However, all cycles eventually end with some degree of disappointment. As we examine IT’s relationship with automation in this report, it’s impossible not to consider the implications for AI once the hype has faded and IT simply needs a solution that works as promised. This report, based on a survey of 200 IT professionals conducted by the Gartner Peer Community, examines the intricate dynamics between IT and automation, highlighting both triumphs and challenges to offer a deeper understanding of how to effectively harness this potent, yet elusive, technology. #### Key findings of this report: • Consistency Over Speed: IT professionals value consistency (48%) more than speed (21%) in automation.• Automation Adoption is Lagging: Most SaaS tasks that could be automated are still done manually, and only 13% reported great success with automation.• Barriers to Automation Remain High: 64% of IT professionals cite a lack of tool education, and 58% cite insufficient staffing or time as major challenges in automation implementation.• Ease of Use is Paramount: Over half (54%) of IT professionals prioritize ease of use when evaluating new automation software. #### Table of Contents: #### Why Automate: What Does IT Really Want? According to Gartner, we’re about to witness an explosion of automation. Gartner predicts that by 2025, 70% of organizations will implement structured automation to deliver flexibility and efficiency, an increase from just 20% of organizations in 2021. With that influx of automation, surely the goal is increased speed—right? Well, not necessarily. While speed often garners all the attention in the realm of automation, our survey showed that IT pros prefer reliability and consistency over the flash and sizzle of speed. The survey says a solid 48% really want consistent task execution, while 27% appreciated the proverbial safety net limiting liability and reducing errors. This speaks volumes about the unsung merits of automation. Speed, you ask? Just 21% favored it as the star performer. And this makes sense when you think about it. Speed without reliability can actually add more work than it saves. Going faster in the wrong direction will only increase the problem. Big Takeaway: Software vendors are quick to point to speed and productivity as the top advantage of automation, but IT pros value predictability and liability reduction far more. And the overall sentiment about automation? Unwaveringly positive. Despite occasional bouts of frustration and disconnect, a whopping 92% of IT pros are still championing this tech evolution. Remember, automation may not be all sunshine and rainbows, but it’s a ride that IT professionals are ready, willing, and remarkably upbeat to undertake. #### The Automation Dilemma Now for the flip side, we explored the barricades that prevent IT from reaping automation’s full benefits. According to the survey, a resounding 64% of respondents mentioned an ‘educational gap’ about tools as a substantial barrier. ‘Lack of time’ and ‘insufficient staffing to invest in automation’ ran a close second, identified by 58% of respondents. The challenges don’t end here. In fact, a significant 44% of IT pros voiced concerns regarding ‘poorly designed automation tools.’ Interestingly, only 23% of respondents said their barrier was budgetary. Big Takeaway: The reality of automation is a far cry from the well-crafted utopia we’re often sold. Products might promise effortless automation, but the hurdles of time constraints and poorly designed tools continue to weigh down IT’s ambitions. In essence, automation, as it stands, could be more of a Herculean task than it’s worth, it’s up to vendors to prove that it’s not. #### Commonly Automated Tasks When examining tasks within IT’s realm that are partially or wholly automated, there’s a wide variation of responses. An impressive 69% of respondents reported partial to full automation in ’employee onboarding,’ while ’employee offboarding’ was similarly treated by 64% of IT personnel. License utilization notifications for idle licenses’ was cited in 51% of instances, and ‘discovering Shadow IT applications’ in 47%. Additionally, 40% of respondents mentioned partial automation for ’employee offboarding tasks like remotely locking laptops.’ Advanced warnings for upcoming SaaS contract renewals’ and ‘discovering applications with duplicate functionality’ were automated to some extent by only 27% and 12% of respondents respectively. Big Takeaway: Surprisingly, even with a low bar set by partial automation, most responses hovered around or below the 50% mark. This not only brings the actual adoption and reliability of automation solutions into question but also speaks volumes about potential disillusionment among IT professionals due to factors like poor user experience, lacking education, and inconsistent results. One alarming observation: over half of respondents (53%) lack any form of automation to discover Shadow IT – a significant security concern in today’s IT landscape. Note: It’s worth noting that both offboarding and license utilization automation are highly dependent upon the effective discovery of unsanctioned SaaS applications—a common blindspot for companies. Without real-time comprehensive discovery, which is only possible with automation, offboarding and license management can’t be effective as they only cover a portion of a business’ true app portfolio. • Read Torii’s Visibility and Impact study to learn more about Shadow IT trends• Learn why 76% of IT pros consider offboarding their greatest SaaS security threat Finally, while a notable 84% of respondents believe their companies have had some success in improving efficiency with automation, only a small fraction (13%) report ‘great success,’ indicating huge opportunities for improvement. #### The Cost of Automation In our exploration of IT’s relationship with automation, we also delve into spending patterns on technology, with a keen focus on Software as a Service (SaaS) expenditures. IT budgets, despite economic constraints, are undeterred when it comes to SaaS. A striking 86% of IT leaders confirm that SaaS consumes at least 21% of their overall budget. In 2023, 79% foresee a ‘moderate’ or ‘great’ increase in SaaS spending within their organizations. On the other hand, only 3% anticipate a decrease in their SaaS budget. However, it’s not just about the financial outlay; implementation costs are also on IT professionals’ radar. When asked if the time-cost of implementing and maintaining automation tools is a consideration, a significant 81% said it is, indeed, a consideration. Conversely, 13% don’t take this factor into account, and the remaining 7% are uncertain.Big Takeaway: While financial costs are a tangible metric, the ‘time cost’ is equally important to IT pros. In many ways, this confirms our earlier result. 58% had said time or headcount was a barrier, while only 23% said lack of budget was the constraint. #### Charting the Course: The Future of Automation in IT As SaaS ecosystems grow in complexity, automation solutions need to evolve to meet changing needs. What IT professionals seek in automation tools reflects not just their current challenges, but their expectations and hopes for the future. Our survey explores the main factors that IT professionals consider when evaluating automation in new software. A surprising majority—54% of respondents—said ‘ease of use.’ They value solutions that are intuitive and accessible, underscoring the need for automation tools to be user-friendly above all else. Without this attribute, even the most robust automation capabilities risk becoming just another drain on time and resources–and ultimately discarded. The remaining “evaluation criteria” responses were evenly split, highlighting the diversity of needs amongst IT pros. Some focused on transparency (13%), eager to understand how automation works, while others focused on cost savings (12%) and productivity (12%), recognizing the crucial role of automation in enhancing efficiency and reducing expenditure. A smaller but significant number prioritized customization (10%), demonstrating the need for flexible solutions that can be tailored to meet specific business requirements.Big Takeaway: Automation tools need to be user-friendly. No other criteria compares. All the promises in the world can’t hold weight without the ability to actually implement the technology. IT professionals, already stretched thin for time, understand this all too well. ##### Going Forward: Making Automation Buzzworthy While automation is an exciting prospect, it also presents its fair share of complexities and challenges. Our survey found that the narrative around automation should focus on more than speed. Consistency, reliability, and ease of use are just as, if not more, important. So, returning to our original question. Is automation a breakthrough or a buzzkill? A little bit of both. The glaring educational gap, time constraints, and poorly designed tools have emerged as prominent barriers. However, even amid these hurdles, IT teams are unfalteringly positive toward automation. The key takeaway is that automation is more of an evolution than a revolution. As we navigate toward the future, it’s critical to realize that the true power of automation lies not in its flashy promises, but in its practical, user-friendly application that aligns with the needs and realities of IT professionals. #### About the Survey: On behalf of Torii, Gartner Peer Community surveyed 200 IT pros: Managers, Directors, VPs, and C-suite (CIOs). Discover IT professionals' exciting opportunities and ominous obstacles—backed by data, packed with insight ## Details ### State of IT Mind: The Good, The Bad, and The Future From Torii CEO andCo-Founder, Uri Haramati #### Executive Summary: IT professionals face a different landscape today than a few years ago. One that’s full of new and evolving challenges and opportunities—spurred by the onset of digital transformation, remote work, and economic uncertainty. Torii surveyed 200 IT Managers, Directors, VPs, and CIOs to see how they feel about those peaks and troughs and what is top of mind. This report tells the story hiding in the numbers. It’s a story of optimism and struggles. Opportunities and threats. We found passionate professionals with strong convictions, willing to express their true thoughts on topics like: • Fulfillment: 99% of IT professionals are proud of their work, and 94% feel appreciated by their company. • Disagreements: CIOs are far more likely than IT managers to stress about wasted SaaS spending—75% vs 35% • Application rationalization: only 15% of CIOs believe their organization has a strategic framework in place Throughout this story, one thing is clear: the future is bright—but it’s not straightforward. Top IT professionals will adapt, collaborate, and succeed in an increasingly complex and distributed workplace. #### Table of Contents: #### IT Feels Damn Good “Nobody ever asks ‘How’s IT?’”Well, we asked, and we were ready for (justifiably) mixed feelings. After all, times are tough! The SaaS revolution has reshaped human relationships with software and shadow IT; economic instability has triggered widespread layoffs; the tech world faces struggles reminiscent of the 2001 tech bubble burst, and organizations everywhere scramble to curb their tech spend. So, we asked. How’s IT?IT’s answer: “Awesome.”It’s true, across multiple questions and responses, one of the biggest takeaways is that IT teams are not just surviving—but thriving even in the face of uncertainty. They’re proud of their work, appreciated by their company, and optimistic. Q: Do you feel proud of your work as an IT professional? A whopping 99% of IT professionals said they are either “somewhat” or “very” proud of their work as IT pros. This surprising level of positivity was consistent with related questions. Q: How strongly do you feel that your company appreciates your contributions?94% of respondents feel “somewhat” or “very strongly” appreciated by their company. And yes, this does differ from the norm. A 2022 survey from Self.inc showed that only 70.8% of U.S. employees said they feel “appreciated by their overall employer.” Q: To what extent do you agree or disagree with the following statement: IT as a profession is headed in the right direction.87% of respondents agreed or strongly agreed. What could be the source of this radiant cheer? It’s true that amidst the changes of the last few years, IT’s role within the company has only grown in importance. We can compare this to an early 2022 study that found 85% of IT professionals said the pandemic increased the visibility of their contributions, but only 38% said it increased their influence within the company. ##### Are IT and Leadership on the Same Page? Modern companies lean heavily on IT’s technical prowess. The question we wanted to raise then is, does IT’s importance correspond with influence today? Do they believe their efforts impact the business in a meaningful way? Q: Are your IT team’s focus areas aligned with company priorities?68% gave a resounding “yes,” while another 29% said “somewhat.” A lonely 3% said “no.” Why do so many feel they’re in lock-step with the business? The answer is simple—they have a seat at “the table” for matters within their realm of expertise. For example, we asked: Q: How included are you in the strategic decision-making process related to the adoption and use of SaaS applications for different business units?A mammoth 98% of IT pros feel included either “sometimes,” “often,” or “always.” Inclusion, it seems, is the key to harmony and alignment with the company’s priorities. Based on this data, it makes sense to say that IT professionals are now included in the decision-making process. Their inclusion contributes to alignment with the rest of the organization, and that alignment contributes to optimistic IT teams that feel appreciated and valued at their organizations. #### Top Threats To Success Q: Which of the following pose threats to your company’s long-term success? At first glance, it appears that Cybersecurity (62%), SaaS spend visibility (61%), and lagging tech (59%) all share the same approximate level of concern. But, we wanted to delve deeper and understand if other factors contribute to the respondents’ answers. Specifically, do the titles of the respondents influence their answers? ##### Zooming in on Cloud App Spending Across titles, most survey answers revealed remarkable unity; from managers to CIOs, we found tight alignment on most responses. But not here. This question showed the survey’s largest difference based on job roles. And interestingly, the higher up the corporate ladder IT pros ascend, the more menacing SaaS spend management challenges become. Here are the responses divided by title for those saying SaaS Spend Management is a threat:35% of Managers53% of Directors66% of VPs75% of CIOs CIOs are twice as likely to flag “spend” than managers, and almost 50% more than directors. Historically, IT—from top to bottom—has dubbed cybersecurity their prime threat. As mentioned earlier in this report, a lot has changed, and 2023 shakes things up. For added context, PwC’s annual CEO survey echoes this shift: in 2022, C-suiters named cybersecurity the supreme foe. But, in 2023, like this study reveals, finances and cost reduction became the new boss fight. We’ll dive more into this in Section 3. ##### What About Alignment and Collaboration? While CIOs sweat over cash, managers are much more likely to fret about “lack of alignment or collaboration across departments related to technology” (45% for CIOs vs. 72% for Managers). On one hand, this makes sense because they’re in the trenches. However, this higher number caught us by surprise, considering the question from Section One, where 97% of IT pros felt somewhat or fully aligned with the company priorities. This suggests that either other departments are failing to align with company priorities or that collaboration, not alignment, might be the real headache for IT (especially managers). This finding is similar to Torii’s previous study on cloud app-driven workplace collaboration. That survey exposed that 80% of IT teams infrequently collaborate with other teams. We wanted to understand the source of these differing opinions. We asked: Q: Which of the following best describes your organization’s ability to identify wasted SaaS expenses?Finding cost savings with SaaS is difficult! You have to get visibility, implement a useful framework or process for evaluating applications, and then execute on that plan. In this question, we wanted to understand what part of that process was failing. We offered five possible responses: 1. We lack visibility2. We have some visibility, but lack an application rationalization framework3. We have visibility, an app rationalization framework, but fail in execution4. We have good visibility, an app rationalization framework, but are inconsistent in execution5. We have good visibility, an app rationalization framework, and consistently execute Overall, the vast majority found themselves in either level 2—some visibility but no app rationalization framework (49%), or level 3—visibility and app rationalization framework, but fail in execution (24%). Only 7% said they simply lack visibility, and only 9% were at level 5. But, as you’ll remember from our previous question, CIOs stressed the most about wasted SaaS spend. We wanted to know how the different roles compared. The first thing you’ll notice is the separation between CIOs and the rest of the participants. Not a single CIO gave their organization a grade of level 4 or level 5. 73% of CIOs do not believe their organization has a strategic framework for app rationalization and license usage. 13% say they lack basic visibility. Compare this with other roles, and we see that VPs, managers, and directors had a slightly more favorable view of their organization’s ability to address wasted spend. However, the overwhelming majority still lacked basic visibility, a framework for success, or consistent execution of those cost-saving measures. These results paint a picture of IT leadership lacking fundamental capabilities for SaaS spend visibility – and without these insights, it’s impossible to make the right decisions and take the best cost-saving actions. But where did this disconnect come from? In short—application rationalization. ##### Application Rationalization is [fill in the blank] Application rationalization is the art of evaluating an app’s worth against its cost. Companies often struggle to either define a good process or stick to it, so it’s not surprising that a divide between different people in IT organizations emerges here. Looking at the numbers, only 15% of CIOs rated their organizations as having an application rationalization framework (Level 3-5), whereas higher numbers are found for managers (50%), directors (47%), and VPs (58%). Why the Stark Divide? There are two plausible explanations for this difference.1. Managers, directors, and VPs are not communicating with CIOs about the app rationalization framework in place.2. These groups and CIOs have different expectations about what app rationalization means. For example, does it require legal approval, specific usage metrics, comparison against similar tools, or input from Infosec or procurement? Perhaps CIOs and managers have different responses to those questions. In either case, communication between C-suite and lower-level IT pros is the primary breakdown. Who Cares? Ignoring the importance of application rationalization can have severe consequences. When done right, it enables IT to evaluate an app’s value – and eliminate those that aren’t valuable, as well as those that have redundant functionality with other apps in their ecosystem. Without a proper framework, businesses risk losing vital apps and carrying expensive yet underutilized and unnecessary ones. However, if a framework exists but CIOs aren’t aware, it leads to poor decision-making. CIOs rely on available information for strategic choices. If they’re not aware that there’s a process for app rationalization – which by definition would also include ready access to data about app usage, redundancy, and costs – it means they’re making crucial budget and technology decisions with incomplete or false knowledge. If you’d like clarity about what comprises an application rationalization framework, check out this article: Application Rationalization Made Easy. #### IT is Prepared for Cyberthreats (sort of) Now, all that discord between titles was immediately resolved in the next section. Regardless of role, IT sees cybersecurity as a top threat against which they are comfortably prepared.Q: Do you feel that your organization correctly understands modern cybersecurity threats?A colossal 92% confirmed their organization grasps cybersecurity, somewhat or fully. Such confidence begs the question: Why? What fuels this belief in their cybersecurity readiness? Q: When it comes to cybersecurity preparedness, which aspect of your organization is the strongest? 50% of respondents point to leadership’s cybersecurity experience and awareness. Paired with the 92% confidence rating from the previous question, this tells us that leaders carry a lot of responsibility and trust related to cybersecurity. This raises another question: Does strong leadership ensure strong company security, or does it merely mask underlying issues related to training or procedures? Only 16% said “internal training and education,” and even fewer, 7%, said their “standard operating procedures” are their strength. The World Economic Forum highlighted that 95% of cybersecurity incidents stem from human error, i.e., failures of training, education, and standard operating procedures. Yet, despite this glaring vulnerability, numerous organizations remain nonchalant. A Hornet Security study revealed that 33% of companies neglect cybersecurity awareness training for remote workers despite that same study indicating that 74% of remote workers have access to critical data. In today’s remote-first world, this oversight amplifies vulnerabilities. In short, inadequate training—particularly for remote workers—may be a ticking cyber time bomb, endangering the entire organization. #### Reorganize IT? No Thanks The supposed demise of the centralized IT department has been a circulating story for years, but current professionals aren’t buying it.Q: With regard to your organizational structure, how centralized are your IT resources?68% reported operating in a company with a fully or mostly centralized IT department. 27% said there was an even balance between centralized and embedded IT services. Only 6% said IT services were mainly or wholly embedded throughout the rest of the organization. So that’s their current situation, but what about their opinion of its efficacy? What is the organizational structure that is best for IT? Q: Do you believe IT operates more effectively as a centralized department or as a fully distributed service embedded within other departments?82% endorsed a wholly or primarily centralized model as best for enabling IT, and that number soared to 90% among CIOs alone. Only 19% thought a more distributed model was best for IT’s efficacy. ##### Can Centralized IT Scale? Often the critique of the centralized model is scalability. IT professionals frequently struggle to keep up with the ever-growing task list while feeling “stretched, like butter scraped over too much bread.” The distributed model might represent a strategic response to ease that burden for some. But what’s the alternative if IT doesn’t believe the solution is embedding IT services throughout the company? Can IT stay centralized while scaling to meet the growing demand for IT services? Can they have their metaphorical cake and eat it too? IT leaders and managers must ponder the implications of their current structures and anticipate future needs. Adaptation is vital in a rapidly changing tech landscape where end-users often make tech tool decisions and acquire their own apps. Will centralized IT departments persevere, or will emerging technologies and the reality of distributed tech ownership shift toward more decentralized approaches? The answer lies in foresight, adaptability, and continuous reassessment of IT strategies. #### Distributed SaaS Management Returning to our original question, “How is IT doing?”Pretty good. However, challenges exist, with more on the horizon. Through complementary Torii studies, we’ve found that many struggles stem from IT’s inability to effectively manage the sprawl of cloud applications, both sanctioned and unsanctioned. The rise and proliferation of SaaS are inevitable, but the associated headaches don’t have to be. IT leaders eager to address this growing source of pain are exploring new methodologies and strategies to manage SaaS sprawl. Many are turning to Distributed SaaS Management, a robust framework that enhances:• Central visibility• Cross-functional collaboration• Spend management• Operational efficiency• Scalability All without compromising the centralized IT department structure. Distributed SaaS Management brings other stakeholders, such as procurement, finance, and company-wide application owners, to the SaaS table and allows IT to empower them to help manage SaaS onboarding, offboarding, and spending through thoughtful delegation and automation. Learn more in this research report ## Details ### The State of SaaS Visibility and Impact Report #### Key Findings From This Report ##### Said Shadow IT is a top concern related to SaaS adoption ##### Have made exceptions to their SaaS security protocols ##### Are evaluating or planning to deploy SaaS management tools #### Summary of the Findings The new reality of distributed and remote work has driven Shadow IT to a whole new level, empowering employees to provision and manage their own cloud applications. While that’s allowed teams to innovate faster, it’s also led to increased security risk and a complete breakdown of old tools and methods for managing it. They weren’t designed for SaaS and the Shadow IT explosion, and simply cannot keep up. SaaS warrants a completely new approach. Businesses are beginning to realize this and take more effective measures for managing their SaaS stack and mitigating the risks. #### Ever Since COVID Ever since Covid, organizations, and more specifically IT, have experienced a transition. They’ve become more agile, quickly adapting to remote and hybrid work models, while combating new and increasingly pressing security and compliance risks. Notably, this shift to remote work and the rise in security concerns are connected. As teams became increasingly decentralized and remote, they relied more on cloud applications – or SaaS – to accomplish their work. But, the full extent of COVID’s impact on SaaS-centric organizations has largely remained unknown. That’s why Torii partnered with Pulse to survey 100 technology executives to find out just how much the pandemic, and SaaS, has impacted their day-to-day tasks and IT strategies. #### Contents of the Report: #### Leadership is (Still) Unsure About the Role of Technology ##### How does leadership view the role of technology within the company? Key Finding: Over half (54%) of respondents report their company’s leadership views technology differently now than before the COVID-19 pandemic. SaaS was once considered a way for IT to save money by avoiding the typical costs of installing and maintaining infrastructure and software; but today, that technology is central to the way we work. Employees now use SaaS to find new and creative ways to streamline their workflows and innovate. In short, employees have become technologically-minded problem solvers, using an array of new, flashy, and efficient software to help bring their organizations into the 21st century. ##### Leadership is Finding Out What Their Employees Already Know Interestingly enough, the COVID-19 pandemic has pushed leadership to recognize this powerful potential of their technology. In fact, over half (54%) of respondents report their company’s leadership views technology differently now than before the COVID-19 pandemic, with 28% of respondents viewing their tech stacks as a strategic advantage, and 17% deeming SaaS as central to their organization’s future growth and direction. Key Takeaway: Leadership is increasingly seeing tech as a proactive way to gain advantage and growth and decreasingly as a way to cut costs or reactively keep up with competitors. In other words, executives are increasingly recognizing employees’ use of SaaS applications to drive ingenuity, streamline workflows, and even increase revenue. Importantly, the increase in autonomous experimentation is also causing new security risks as it leads employees to experiment and test more applications without ever communicating with IT, thereby introducing new security risks. #### Application Adoption – The Tension of Autonomy and Control As more employees are experimenting and implementing new applications autonomously, the IT department is losing visibility. We’ve actually found that the typical IT leader dramatically underestimates the number of applications within the company. The actual number is often three to six times higher than what they estimate. Read More: Torii Infosheet – SaaS Insights, New Application Adoption #### SaaS App Visibility and Security Risks are Top of Mind: ##### What are your top security concerns with relation to SaaS Key Findings: The three biggest security-related concerns among tech executives include:Shadow IT (69%)Offboarding employees from applications (59%)Remote workers exposing data (56%) All of these security risks can be blamed on a lack of visibility. In short, your IT and/or security teams can’t manage what they can’t see. Therefore, lacking insight into your organization’s applications, how they’re used, and by whom, leaves your sensitive data and carefully-planned budgets at risk. Consequently, employees’ rapid adoption of apps during the pandemic has led 41% of executives to report challenges with SaaS spend visibility and optimization as having the largest impact on how their organization operates. To understand why, let’s take a look at the specific risks associated with the above security concerns. Shadow IT refers to unsanctioned technology (or technology resources) that are used by employees without the IT department’s knowledge. Today, most Shadow IT takes the form of SaaS apps. This poses serious security and compliance risks for organizations whose sensitive data is constantly flowing through these applications but have no way to monitor its usage or combat security breaches. Despite the security threats, Shadow IT isn’t going away. In fact, it is just increasing: Key Findings:52% of survey respondents say individual employees are purchasing their own apps without IT’s knowledge36% also reported the adoption of unsanctioned apps by line of business (LOB) managers ##### What is the main reason for your unsanctioned applications? Because Shadow IT is a largely invisible issue (hence the name), it can be hard to identify its presence, let alone its costly, time-consuming impact—that is, until it’s too late. Key Findings: In fact, 55% of organizations have reported lapsing security protocols since the start of the pandemic, with 80% of these breaches being caused by applications adopted outside of IT’s purview. ##### Have you made exceptions to your security protocols for any of your SaaS applications? ##### Why were those exceptions to your security protocols made Unfortunately, application adoption is not the only concern—Integrations also pose a significant security threat. In addition to transforming employees into single-person procurement teams, SaaS has also turned everyone into a systems integrator. For example, an employee with access to Hubspot, Slack, GSuite, and other sanctioned apps can easily integrate them with other tools – some of which may fall under Shadow IT. Key Takeaway: SaaS has turned everyone into a systems integrator! If data flowing from unsanctioned to sanctioned apps is inaccurate or corrupted, it can compromise mission-critical data. Likewise, data flowing from sanctioned to unsanctioned apps is exposed in ways security teams are unaware of and, therefore, are unable to protect. Important Note – The Value of Shadow IT: While the headline of this report reflects the concern with the security risks of unmonitored applications, Shadow IT can also represent value. Shadow IT, when properly monitored, is the result of creative and innovative teams trying things and driving value for the whole organization. The important aspect is mitigating threats while enabling that exciting experimentation. For more about how Shadow IT can also be a net good for the organization, read some of the resources below. Read more about Shadow IT:What is Shadow IT? [Three Steps to Take in 2022]Shadow IT and SaaS Security: Are they Mutually Exclusive?Shadow IT: The Good the Bad and the Ugly One instance in which the risks of Shadow IT become painstakingly visible is during the employee offboarding process. ##### 2. Offboarding: As your organization adopts hundreds of applications, keeping track of them—let alone their users—quickly becomes an impossible task, especially without an Automated SaaS management platform to track this data for you. For this reason, in many cases, organizations fail to offboard former employees from both Shadow IT and sanctioned applications. This means that offboarded employees can still access your organization’s apps and the sensitive data they contain. Your organization may also be at risk ofbreaking security and compliance regulations. With this in mind, it’s unsurprising that 59% of executives consider offboarding and deprovisioning ex-employees “a top security concern.”. Read More: [New Report] 76% of IT leaders say “Offboarding is a Significant Security Threat” For those looking to fix their offboarding process, check out Torii’s IT Checklist for Employee Offboarding. ##### 3. Remote Workers Exposing Data: Although seemingly outdated, anxieties regarding remote work are actually warranted. We’ve all heard horror stories about employees connecting to an unsecured network or falling victim to a phishing scam, leading to a massive and costly security breach. With this in mind, as soon as your organization implements remote work options, an underlying anxiety is bound to form—how can your organization ensure its employees are accessing and disseminating sensitive data responsibly? While it’s best practice to consistently educate your employees about securing their passwords, phishing scams, and other security threats, education alone cannot prevent all security breaches. Unfortunately, the pandemic forced most organizations to adopt remote work before they had proper remote security protocols and tools in place. Even so, simply implementing an Identity Access Management and/or Single Sign-On solution is not enough to secure your organization’s sensitive data. #### Falling Short: Identity Access Management & Single Sign-On Key Findings: Despite high anxiety regarding Shadow IT, 90% of respondents reported using Identity Access Management (IAM or Single Sign-On (SSO). Organizations have already adopted Identity Access Management (IAM) and Single Sign-On solutions (SSO) as a method of fortifying their sensitive data during a period of remote work and general uncertainty. In fact, almost all survey respondents (90%) reported using Identity Access Management or Single Sign-On to reduce exposure to security threats. ##### Which of the following tools are you using within your organization to reduce exposure to security threats? These applications add an additional layer of security and control to your organization’s SaaS login process, ensuring that only the right people have access to your tech stack. Although implementing these solutions is a first great step to protecting your organization’s sensitive data, like most applications, IAM and SSO are not a silver bullet for all of your security needs. IAM and SSO tools can only account for known (or sanctioned) applications. This means that they can’t uncover or have visibility into Shadow IT apps, which, as we’ve learned, pose some of the most serious security threats to your organization. Key Takeaway: IAM and SSO tools are important for security, but they are not sufficient by themselves One option that many organizations are taking is coupling their IAM and/or SSO solutions with a SaaS Management Platform. SaaS Management platforms uncover all of your organization’s apps, including those currently within Shadow IT. Additionally, SaaS Management tools optimize your organization’s tech stack by eliminating Surprise SaaS Spend, unused licenses, and abandoned applications. Learn more about the benefits of pairing your SSO and SaaS Management solutions here. Read more: 10 Things You Must Know Before Implementing a Single Sign-On (SSO) Solution. #### What Does This Mean for IT? ##### IT’s Role Is Changing Key Takeaway: Decentralized workflows and the rapid adoption of SaaS applications have forever transformed IT from tech stack gatekeepers to SaaS conductors. IT no longer has sole control over application adoption. The impacts of SaaS, decentralization, and (most recently) the pandemic have pushed IT to re-evaluate their role within the organization. Instead, many teams have turned their attention to becoming a SaaS orchestrators, helping all stakeholders from security, finance, procurement, and lines of business, get the most value from SaaS apps. All while controlling spend and de-risking SaaS adoption. Through this work, IT helps ensure that data remains accessible only to authorized users. This way, employees can continue to innovate while IT ensures their organization’s data remains secure. In fact, most executives consider management and control of the organization’s tech stack, and leading innovation to support business growth as valuable tasks, with 58% rating these tasks as 4 or 5 on a scale of 1 to 5. This may be why most IT personnel (45%) have reported spending more time on valuable work since the shift to remote and hybrid arrangements. ##### More SaaS, Faster Timelines, and Increased Budgets for IT In addition to the shift in valuable and non-valuable work, respondents reported other changes. When asked about what specific ways the pandemic impacted, “Accelerated technology timelines” and “Increased SaaS tool adoption” topped the list (60% and 53%).Other items included: ##### Top 5 ways the pandemic impacted the IT department Something of Note: Interestingly, while IT reported faster timelines, more tools, more budget, and more influence, only 37% of respondents noted an increase in workload. ##### IT’s Contributions are More Visible Than Ever Before IT might struggle to maintain the visibility of its SaaS applications, but the rest of the company is finally noticing IT’s contributions. In fact, our research showed that 85% of IT teams feel that the changes due to the pandemic have increased the company’s visibility of IT contributions. 14% said it stayed the same, and only 1% of respondents claimed their visibility decreased. ##### How have the changes from the COVID-19 pandemic impacted your company’s visibility of IT contributions within the organization? ##### Despite Decentralization, IT Remains Involved in SaaS Purchasing Much of this report focuses on how decentralization has spread the SaaS purchasing responsibilities across the organization. But, that doesn’t mean that IT is sitting on the sidelines. When asked about who purchases the most SaaS applications within their organization, 89% of respondents said it was still IT. This shows that IT is still part of the process. Despite decentralization, IT still has valuable insight and knowledge that can help the rest of the organization make difficult decisions related to application selection. However, it’s also worth noting that with Shadow IT, the question of “who purchases the most applications” is difficult to truly know. Without visibility to the rest of the organization, IT can only confidently know their own purchase actions. Not the rest of the organization. This leaves a significant opportunity for blindspots to occur. With all of this in mind, what does the future hold for SaaS applications? #### SaaS Is Here to Stay – So How Can We Improve Security? Key Findings: 94% of respondents expect the number of SaaS apps in their company to continue to increase in the next two years SaaS does include security risk, but the potential advantages make SaaS an inescapable center of gravity for the modern organization. In fact, 94% of survey respondents indicated that they expect the number of SaaS apps in their company to increase in the next two years. #### SaaS Management Plans are in the Works But, in order to uncover Shadow IT and better manage their growing SaaS stacks (and the risks associated with them), technology executives are implementing additional security measures. Respondents reported their plans to: ##### Does your organization plan to do any of the following to accommodate an increase in SaaS applications over the next two years? #### Conclusion: A New Paradigm What can we conclude from these findings? There’s a lot to consider, but a handful of truths stand out. For the IT department, the pandemic created a new almost paradoxical paradigm. One in which their contributions were more visible than ever, but their insight into the organization’s software was less visible than ever. However, as we move forward SaaS Management Tools, increased headcount, prestige, and budget allocation are available to IT to help gain back the insight they need.
